Qualifications: High School Diploma Bookkeeping experience preferred Proficient in the use of Google Workspace, Microsoft Word, Microsoft Excel, and Quicken
Must be able to exercise initiative, independent judgment, and discretion in performing duties, while maintaining confidentiality when necessary Reports to : Board Secretary/Business Administrator Job Goal : To assist and relieve the Board Secretary/Business Administrator in the completion and processing of documents and other items related to the efficient operation of the Business Office. PERFORMANCE RESPONSIBILITIES:
1. Routinely handles telephone calls, provides assistance as needed.
2. Greets all visitors.
3. Types letters, memos, reports and forms as necessary.
4. Opens, sorts, and distributes mail.
5. Attends Board meetings and Public Hearings.
6. Type minutes of Board meetings, Public Hearings, including confidential minutes from executive sessions, from notes and maintains a master file.
7. Prepare the BS/BA portion of the agenda.
8. Prepare legal notices at the direction of the Business Administrator.
9. Register board members for all approved workshops, conferences and travel.
10. Maintains files and purges as necessary in accordance with the record retention schedule.
11. Prepares all tax exempt certificates and processes all insurance certificate requests for the district.
12. Prepares and processes bid specifications, maintains contract files and closeout documents.
13. Responsible for the coordinating of the Educational Data Services (EDS) cooperative bidding program for the District.
14. Assists with all OPRA requests as needed.
15. Responsible for the handling of all student, employee, and public accident report forms for the district including troubleshooting regarding claim issues.
16. Processes all Board approved contract documents.
17. Prepares and processes all tuition and transportation billing.
18. Prepares all requisitions and purchase orders for the Business Office and the Technology Department.
19. Responsible for training new employees in the use of accounting software.
20. Assists in bookkeeping, check disbursement and monthly reconciliations for all funds.
21. Assists the Board Secretary/Business Administrator in the annual audit preparation.
22. Serves as the Food Service Alternate, assists with the processing of meal applications and SNEARS reports.
23. Assists the Board Secretary/Business Administrator in carrying out management policies in the area of labor relations and personnel in a confidential manner.
24. Performs such other duties as assigned by the Board Secretary/Business Administrator and/or Superintendent.
Terms of Employment: Twelve month contract. Salary determined by the Board of Education on recommendation of the Superintendent and in line with Board policy. Evaluation: Performance on the job will be evaluated annually in accordance with the Board policy and State law.
