Position Description

Supports the program director by performing administrative duties related to planning, directing and coordinating both the academic and operational activities of the program.

Major/Essential Functions

  • Track and remind fellows to log procedures
  • Review clinical and educational work hours
  • Submit fellow work/vacation hours to GME (Graduate Medical Education)
  • Process fellow time off requests (e.g., vacation, personal time, leaves of absence); this may include obtaining approval, notifying the appropriate faculty/staff, and adding to calendars and/or other applicable platforms
  • Attend Monthly Program Coordinator Meetings
  • Process fellowship verification requests
  • Assist Fellows who are attending conferences (approval, funding, registration)
  •  Scheduling and Reserving space for meetings/ events
  • Prepare GME annual report
  • Recruitment- Plan, organize interviews, evaluations, documents, and final rank lists
  • Supports Program Director and key faculty by performing administrative duties related to planning, directing and coordinating both the academic and operational activities of the program
  • Respond to all faculty email requests received via the pool or direct email.
  • Schedule meetings, reminders, and prepare meeting documents.
  • Enter faculty CV content, produce reports and assist faculty with Annual Faculty Evaluations.
  • Update and maintain faculty CVs.
  • Track and log faculty CMEs.
  • Distribute faculty mail twice weekly.
  • Request faculty leave approval, post to the faculty calendar, and ensure it is posted to the
    Departmental Faculty Leave calendar, and notify key people.
  • Arrange faculty department-related travel accommodations, post to faculty calendar, prepare documents, collect receipts, and process
    reimbursement.
  • Complete faculty and departmental purchases, maintain receipts, and reconcile expenses
    report in Chrome River weekly (registration, membership dues, books, food, and similar
    expenses).
  • Collect, maintain, and update call schedules and forward to key people.

Visa Information

TTUHSC, at its sole discretion, may initiate new H-1B I-129 visa petitions in accordance with the directive issued by Governor Abbott. Approval from the Texas Workforce Commission is required.
