Job Description

LOCATION: SAMUEL MAHELONA MEM HOSP | Clinic at Waimea

SALARY RATE: $46,800.00 (Annual Salary) based on the FTE

JOB DUTIES: This position is regional and is located within the Kaua’i Region Clinics of Hawai’i Health Systems Corporation (HHSC) Kaua’i Region, a public benefit corporation of the State of Hawai’i. The HHSC Kaua’i Region encompasses Kaua’i Veterans Memorial Hospital (KVMH) and Samuel Mahelona Memorial Hospital (SMMH), both designated as critical access hospitals (CAH), as well as the Kaua’i Region Clinics and its affiliated entities.

Spanning several distinct locations, the Kaua'i Region Clinics network encompasses an extensive system that offers the community an array of primary and specialized healthcare services, ranging from Family Practice to Outpatient Surgery, and includes disciplines such as Obstetrics and Gynecology, Pediatrics, Urology, Gastroenterology, Podiatry, Internal Medicine, and more.

The Clinic Receptionist III performs lead clinic receptionist functions for four (4) or more clinics, or performs lead clinic receptionist functions as a Subject Matter Expert (SME). Lead clinic receptionist duties includes: plans, prepares and maintains clinic staff schedules; generates weekly provider encounter visit reports and follow ups with staff and providers for submission, orders clinic specific supplies; ensures proper functioning of office equipment; contacts vendors regarding clinic equipment related issues; training and orientation of new staff; training staff on all computer system updates/revisions; communicate all new and revised operation and/or procedure changes for the clinic and performs other duties as required.

This position may require availability to work on weekends and holidays as necessary. Additionally, the incumbent may be assigned to various clinic sites within the region to fulfill operational and patient needs. 

This position reports directly to the Clerical Supervisor IV, position no. 57323, or its designee.


THE MINIMUM QUALIFICATION REQUIREMENTS ARE:  Applicants must meet all of the following requirements. Please note that unless specifically indicated; the required education and experiences may not be gained concurrently. In addition, qualifying work experiences are based on a 40-hour work week.

EDUCATION REQUIREMENT: High school diploma or equivalent.

GENERAL EXPERIENCE: Two (2) years of responsible typing, stenographic, substantive clerical work, or any combination of these experiences which duties demonstrated knowledge of English grammar, spelling, arithmetic, common office appliances and equipment; and the ability to read and understand oral and written instructions, carry out procedures in clerical work systems, speak and write simply and directly, observe differences in copy and proofread words and numbers quickly and accurately, and operate various kinds of office equipment; and ability to deal effectively with others in eliciting information and providing service.

SPECIALIZED EXPERIENCE: One (1) year of work experience performing receptionist activities in a clinic; interviewing patients and/or responsible persons to obtain required information; inputting of data into a computer system; scheduling appointments, diagnostic studies and outpatient procedures; performing a variety of fiscal record keeping functions and preparing and maintenance of medical records and/or work experience in configuration, testing, validating, problem solving, and troubleshooting Electronic Medical Records (EMR) related issues in a clinic.

LICENSURE: Possession of a current, valid State of Hawai’i driver’s license, Type #3 preferred.

NON-QUALIFYING EXPERIENCE: Experience limited to the performance of simple and repetitious clerical work which primarily involved a short cycle of tasks and manual dexterity shall not be considered qualifying. Examples of such non-qualifying work include but is not limited to such tasks as wrapping and unwrapping articles; opening envelopes, folders, and similar containers; affixing tags and labels; rearranging or tidying up office desks and equipment; delivering, distributing, or collecting correspondence or parcels.

SUBSTITUTION OF EDUCATION FOR GENERAL EXPERIENCE: An Associate’s or Bachelor’s from an accredited college or university may substitute for all of the General Experience required.

QUALITY OF EXPERIENCE: The number of years of experience required for any grade level represents the minimum amount of time necessary to qualify for the appropriate position, but length of time is not in itself qualifying. The applicant's work experience must also have been of a quality and scope sufficient to enable him to perform satisfactorily assignments typical of the grade level for which he is being considered.

KNOWLEDGE AND ABILITIES REQUIRED:

KNOWLEDGE OF: Office practices and procedures; grammar, spelling, punctuation and work usage; use of standard office machines; techniques of interviewing others to obtain pertinent information; preparation and maintenance of clinic staff schedules for efficient operations; ordering of clinic specific supplies; operation and maintenance of various office appliances/equipment; and good knowledge of clinic operations and procedures; Through knowledge of clinic operations and procedures, preparation and maintenance of clinic staff schedules for efficient operations and principles and practices for training.

ABILITY TO: Make arithmetic computations; compare names and numbers rapidly and accurately; utilize pagers and overhead paging system, teleprocessing terminal, file materials numerically and alphabetically; follow oral and written instructions; deal tactfully and effectively with the public; work harmoniously with others; understand, explain and apply policies, procedures, rules and regulations pertinent to patients receiving clinic medical care; keep matters confidential; interview others to obtain pertinent information; plan and coordinate clinic receptionist responsibilities for multiple clinics; prepare and maintain clinic staff schedules; communicate positively and effectively with staff, understand, explain and apply policies, procedures, rules and regulations pertinent to the clinic operations; and train and instruct staff on all computer systems updates/revisions, and clinic operation and procedures.
