The Assistant Project Manager (APM) may be assigned duties and responsibilities as the primary (responsible party) or secondary (supporting party) as determined by the demands of the project or projects in process at any time.

The APM is responsible for the financial, administrative and client-relations success of the projects to which he or she is assigned. Major objectives include supporting the Project Manager in managing the project within defined profitability and timing parameters and completing the project to the satisfaction of the client. On bigger projects, the APM may have responsibility for a portion of the project and report to a Senior Project Manager.


1. Post-Award / Pre-Construction Activity

1.1. Attends post-bid review meetings with the client, estimating, and Project Manager.

1.2. Scrutiny of contract to develop a firm understanding of our responsibilities and how this impacts the estimated profitability of the job;

1.3. Performs all activities as specified on the Job Procedures Checklist for each project, including:

1.3.1. Obtain construction drawings and a detailed schedule,

1.3.2. Assists in the final review of the Scope of Work for the Project

1.3.3. Publishes key dates and milestones for the project. Identifies equipment, material and labor delivery requirements,

1.3.4. Ensures timely delivery of submittals and engineered drawings

1.3.5. Records and reports on progress or delays in timely Job Procedures Checklist for Projects

1.4. Prepare and submit submittals, subcontracts, enrollments, reporting, and closeout documents.

1.5. Attends the internal Handoff Meeting with the Project Manager, estimating, and field operations to review and understand the project scope and requirements.

2. Project Management

2.1. Attends job site meetings and internal coordination meetings. Document action items and follow up to ensure compliance by responsible party.

2.2. Visits the job site as frequently as necessary, or be stationed at job site to support Project Manager to:

2.2.1. Manage submittal approval process

2.2.2. Track, verify and report on overall project progress, schedule compliance

2.3. Reviews all project field reporting promptly upon receipt; resolves any problems with inaccurate, late or absent reporting. Work with Superintendent/s to ensure reporting that reflects all project issues and tracks accurately with weekly constraint log and formal notices.

2.4. Prepares weekly constraint log for review by Project Manager and submits to Contractor after review.

2.5. RFI process, including identification and resolution of discrepancies between specification and drawings and field directives.

2.6. Support the Project Manager and Superintendent as necessary in establishing and maintaining sufficient documentation and notification of any conflicts, delays or inefficiencies that may affect the contract compliance, scheduled progress or risk management of company assets

2.7. Monitors work performance regarding project specifications and scope of work, and works with the Superintendent to take action to resolve variances.

2.8. Monitors the progress of the project against the schedule and works with the Superintendent/s to proactively identify potential schedule overrun causes. Report schedule overruns in real time to Project Management.

2.9. Responsible for productivity tracking and reporting using electronic measurement (such as DPC) and AI tools (such as Open Space)

2.10. Ensures that change order requests are properly entered into the project management system and tracked – both for the Contractor (e.g., Procore system) as well as internal system (currently Spitfire)

2.11. Be fully familiar with vendor and /or subcontractor selection, and track their compliance with ODP, OCIP/ DCIP procedures, schedule requirements, and cost codes.

2.12. Schedules, conducts and documents client and subcontractor meetings.

2.13. Tracks the completion of punch list items and quality issues.

2.14. Ensures that the project is administratively closed out, providing close-out documentation to the Director of Operations for final sign-off.

2.15. Ensures the proper administration and filing of project documentation, including the project contract, shop drawings, submittals, correspondence, specifications, purchase orders and other related project documentation.

3. General

3.1. Maintains a high level of expertise with the company’s project management system.

3.2. Maintains professional, cooperative relationships with subcontractors, engineers, architects and clients.

3.3. Complies with corporate policies and procedures.

3.4. Must be thoroughly familiar and preferably proficient in all procedures and activities of the following Project/ Staff positions:

3.4.1. Project Manager

3.4.2. Project Administrator

3.4.3. Project Coordinator

3.5. Any other duties as may be assigned to you from time to time.

Requirements

1. A BA/BS in Construction Management or an appropriate technical discipline is desirable.

2. 2+ years of construction project management experience.

3. 2 years of construction field supervision is desirable; more field experience may obviate the need for a tertiary qualification.

4. Excellent computer skills, including Word, Excel, and one or more project management systems (experience with the company’s current project management system – Spitfire, MS Solomon, OST, Quick Bid is particularly desirable).

5. Willingness to “roll up his/her sleeves” and do what is necessary to get the job done.
