POSITION: Elementary Registrar

 

REPORTS TO: Director of Campus Operations

 

POSITION TYPE: 12-month

 

START DATE: 26-27 School Year

 

COMPENSATION: $19.86 - $24.69 per hour[ER1][MJ2]

The Role

The Elementary Registrar plays a critical role in ensuring data integrity, accurate enrollment records, and compliance across all student documentation systems. This role is foundational to campus operations and revenue accuracy, serving as the campus expert in SIS updates, student files, residency verification, and compliance workflows related to enrollment, attendance, and student records. The Registrar works closely with the Operations Coordinator, Receptionist, DCO, and Home Office SIS/PEIMS to ensure that every student’s data is complete, accurate, compliant, and up to date — enabling predictable operations and strong instructional support.

 

1. Student Enrollment & Documentation Accuracy

The Registrar is the primary owner of all enrollment documentation and SIS data entry.

  • Processing new applications in SIS and verifying all required documentation.
  • Ensuring 100% accuracy in residency, birth certificates, immunizations, custody orders, and compliance documentation.
  • Reviewing enrollment packets for completeness and ensuring follow-up information is obtained.
  • Entering new students into SIS accurately, including homeroom placement and program codes.
  • Ensuring all required state and district enrollment compliance standards are met.
  • Processing withdrawals, ensuring all records are complete, and updating SIS promptly.

 

2. Student Records Management & Compliance

The Registrar is the campus steward of all student records, maintaining confidentiality and accuracy.

  • Maintain cumulative files for all students, ensuring organization and completeness.
  • Upload, store, and update documents in digital records systems (e.g., Skyward, OnBase).
  • Perform ongoing records audits and prepare for BOY/MOY/EOY audit cycles.
  • Ensure student demographic, program, and residency information is accurate at all times.
  • Coordinate records requests and transfers for incoming and outgoing students.
  • Maintain custody documentation with 100% accuracy.
  • Maintains an audit-ready cumulative file system at all times in alignment with district readiness standards.

 

3. SIS Data Accuracy & PEIMS Coordination

The Registrar supports state and district reporting accuracy by:

  • Completing all SIS entries with precision (enrollment, attendance corrections, withdrawals, demographic updates).
  • Supporting elementary-level PEIMS processes in alignment with Home Office timelines.
  • Verifying student program codes in partnership with campus SPED, 504, and ELL teams.
  • Running data validation checks and correcting errors proactively.
  • Preparing PEIMS submissions by ensuring all student-level data is accurate.

 

4. Attendance Data Integrity & Documentation

Registrar ensures compliance and data accuracy in attendance records.

  • Support daily attendance reconciliation with OC and teachers.
  • Enter corrections, documentation, and coding changes.
  • Maintain attendance documentation for audits.
  • Ensure all attendance-related entries meet district and state compliance expectations.
  • Support ADA calculation accuracy through system maintenance.

 

5. Operational Support for Campus Systems

Registrar supports operational systems related to data, including:

  • Ensuring class rosters, homerooms, and teacher assignments are accurate in SIS.
  • Supporting testing logistics through roster accuracy and student schedule validation.
  • Producing reports for DCO, teachers, and administrators as needed.
  • Assisting with year-to-year rollover, grade promotion accuracy, and homeroom placements.

 

6. Family Experience, Communication & Customer Service

Registrar interacts with families regarding documentation, compliance requirements, and records.

  • Communicate clearly and professionally about required enrollment documents.
  • Schedule or support intake appointments in partnership with receptionist and OC.
  • Maintain confidentiality and professionalism in all interactions.
  • Provide families with accurate instructions about paperwork, records, and withdrawals.

 

7. Cross-Functional Collaboration

Registrar works with:

  • OC (enrollment processing & attendance execution)
  • Receptionist (intake scheduling & family communication)
  • DCO (strategy & compliance oversight)
  • SIS/PEIMS Home Office
  • SPED & 504 coordinators
  • Testing coordinator (accuracy of testing rosters)

  • Compensation – This position is an non-exempt, hourly position; salary offers commensurate with experience.
