Summary of Position:

The Tax Specialist is a strategic, technically driven tax professional responsible for managing all aspects of the company’s multi-state tax compliance, including sales and use tax, franchise tax, excise tax, and state income tax obligations. This role serves as the internal tax expert by owning compliance processes, managing audits, implementing tax optimization strategies, and ensuring accuracy across all state and local tax filings. The ideal candidate is highly analytical, detail-oriented, tech savvy, and possesses deep technical expertise in state and local taxation (SALT).

Essential Functions:

Sales and Use Tax Compliance

  • Prepare, review, and file all sales and use tax returns across multiple jurisdictions ensuring accuracy and timeliness.
  • Monitor nexus obligations and maintain compliance with evolving state and local sales tax requirements, including economic nexus thresholds.
  • Conduct exemption certificate management and maintain proper documentation for tax-exempt transactions.
  • Research and resolve sales tax issues, including product taxability determinations and sourcing rules.

State Income Tax and Franchise Tax:

  • Oversee preparation and filing of state income tax and franchise tax returns for all applicable jurisdictions.
  • Analyze apportionment methodologies and calculate state tax liabilities in accordance with state-specific regulations.
  • Coordinate with external auditors and tax preparers to ensure accurate state income tax provisions and disclosures.
  • Monitor legislative changes impacting state tax obligations and assess their impact on the company.

Tax Audit Management:

  • Serve as the primary point of contact for all state and local tax audits, including sales tax, income tax, and excise tax audits.
  • Manage audit responses, prepare supporting documentation, and negotiate settlements with tax authorities.
  • Develop and implement strategies to minimize audit exposure and resolve disputes favorably.
  • Maintain audit trail documentation and coordinate with external counsel when necessary.

Tax Planning and Advisory

  • Identify tax savings opportunities through strategic planning, credits, and incentive programs.
  • Provide technical tax guidance to finance, legal, and operational teams on business transactions and new initiatives.
  • Collaborate with external tax advisors on complex matters while maintaining ownership of day-to-day compliance.
  • Stay current on tax law changes and communicate impact to stakeholders.

Process Improvement and Systems Management

  • Develop and maintain efficient tax compliance processes, workflows, and internal controls.
  • Leverage tax technology and automation tools to streamline compliance and reporting activities.
  • Maintain and update tax databases, rate tables, and nexus schedules.
  • Prepare monthly, quarterly, and annual tax reporting packages for management review.

Work Environment

This position is based on a professional office setting and requires on-site presence five (5) days per week, regularly utilizes workplace technology, including computers, smartphones, multifunction printers, cloud-based filing systems, and collaboration tools.

Physical Demands

This role requires physical capabilities that support the successful execution of key responsibilities. The employee regularly engages in verbal and written communication with colleagues and clients to address project-related inquiries and must be able to convey accurate information clearly and efficiently. The position involves remaining seated at a workstation for approximately 75% of the time, with occasional movement throughout the office to access equipment, supplies, and shared resources. Daily tasks include consistent use of computers and standard office technology such as keyboards, printers, and multifunction devices. The role also involves transporting equipment boxes weighing up to 25 pounds within the building and to other offsite locations as needed for project support.

Required Education and Experience:

Bachelor’s degree in accounting or related field required

2-3 years of hands-on experience

Qualifications:

  • Experience: Minimum 2-3 years of hands-on experience in state and local tax (SALT) compliance, with deep expertise in sales and use tax, franchise tax, excise tax, and state income tax.
  • Education: Bachelor’s degree in accounting or related field required. CPA or master’s degree preferred. 
  • Core Knowledge: Strong technical knowledge of SALT compliance, nexus rules, and state Voluntary Disclosure Agreement (VDA) requirements. 
  • AI Literacy: Comfort and willingness to adopt AI-powered tools (e.g., Claude, Copilot, AI agents, intelligent automation) to enhance daily workflows and drive continuous improvement.
  • Independent Driver: Demonstrated ability to manage multiple priorities, meet tight deadlines, and thrive in a fast-paced environment.
