The ideal candidate is a technically strong payroll professional with experience managing complex payroll operations in a highly regulated environment and demonstrates advanced knowledge of payroll tax compliance, benefit and retirement plan reporting, and internal controls. This individual is analytical, detail-oriented, and collaborative, with hands-on expertise in payroll systems (preferably UKG Ready) and the ability to support audits, lead process improvements, and serve as a trusted partner to Finance and HR leadership.

ESSENTIAL JOB RESPONSIBILITIES:

  • Lead and manage end-to-end multi-entity payroll operations in UKG Ready, ensuring accurate wage calculations, deductions, tax withholdings, and benefit integrations while maintaining compliance and timely processing across all entities. Prepare payroll-related journal entries, cash disbursement records, reconciliations, and support financial statement reporting requirements.
  • Manage payroll system integrations with third-party vendors and consultants to streamline processes and ensure seamless data flow for payroll and benefits administration.
  • Oversee complex compliance requirements related to payroll taxes, multi-state regulations, benefits administration, and retirement plan contributions.
  • Participate in 401(k) audits, financial statement audits, and Federal Single Audits by preparing schedules, reconciliations, and supporting documentation.
  • Serve as the UKG Ready subject matter expert, managing back-office settings and optimizing system functionality and identifying opportunities for process improvement.
  • Monitor and validate timesheet submissions; train employees and new hires on payroll processes, including timesheet entry, time off requests, and UKG system navigation.
  • Ensure timely submission of payroll tax filings and required reporting in coordination with Finance and HR teams.
  • Maintain payroll records with strict confidentiality and serve as the primary point of contact for payroll-related inquiries.
  • Partner with Finance and HR leadership to strengthen internal controls, enhance payroll governance practices, and improve existing processes.

ESSENTIAL SKILLS

  • Advanced knowledge of multi-state payroll tax laws, wage and hour regulations, benefits administration, and retirement plan compliance.
  • Strong understanding of payroll-related accounting, including journal entries, reconciliations, financial reporting, and audit support.
  • Proficiency in payroll systems (UKG Ready preferred), including system configuration, integrations, reporting, and data analysis.
  • Demonstrated ability to manage complex compliance requirements while maintaining strong internal controls and audit readiness.
  • Excellent analytical, organizational, and problem-solving skills with the ability to identify discrepancies and implement process improvements.
  • Strong communication and collaboration skills, with the ability to train employees, partner with cross-functional teams, and handle confidential information with discretion.

  • Minimum of five (5) years of progressively responsible experience in advanced payroll processing, preferably in a multi-entity environment.
  • Intermediate knowledge of general ledger functions, including preparation of journal entries and account reconciliations.
  • Advanced proficiency in Microsoft Excel, including the ability to perform complex data analysis, reconciliations, and reporting.
  • Experience supporting 401(k), financial statement, or Federal Single Audits preferred.
  • Experience with UKG Ready, Deltek Costpoint, or Sage Intacct strongly preferred.
