Job Description

Reports to: Designated Administrator


Term: 226 Days


Status: Nonexempt


 


Primary Purpose:
Provide high-level administrative and clerical support and assist with the efficient operation of the curriculum and Instruction Department. Support department goals by managing office operations, coordinating communications, maintaining records, and facilitating workflow.


 


Qualifications:
Education/Certification:


High school diploma or GED


 


Special Knowledge/Skills:


Proficient skills in keyboarding, word processing, and database skills


Excellent communication and interpersonal skills


Strong organization skills with the ability to prioritize tasks and manage multiple responsibilities


Ability to maintain confidentiality and exercise sound judgement


 


Experience


Three years secretarial experience, preferably in a public education environment


 
Major Responsibilities and Duties:
 
Administrative Support


Provide administrative support to the Assistant Superintendent including drafting correspondence, reports, memos, and presentations.
Schedule and manage complex calendars, appointments, and meetings; coordinate meeting logistics and prepare materials.
Answer and screen telephone calls, respond to inquiries, route messages, and greet visitors professionally.
Maintain accurate departmental records, files, and documentation in both physical and digital formats.
5. Attend designated meetings, take and transcribe minutes, and distribute follow-up information as required.


 


Coordination and Communication
6. Assist with the preparation and dissemination of department communications to staff and stakeholders.
7. Collaborate with central office staff, campus personnel, and external partners to ensure effective communication and information flow.
8. Organize professional development registrations and logistics for curriculum and instructional training.


 


Office Operations
9. Manage office supplies, equipment, and departmental inventory, process requisitions and purchase orders.
10. Enter and update data in district systems and databases as assigned.
11. Support budget tracking, simple bookkeeping tasks, and related documentation.


13. Answer incoming calls, take reliable messages, and route to appropriate staff.


14.  Maintain a schedule of appointments and make travel arrangements for department staff.


15.  Receive, sort, and distribute mail and other documents to department staff.


16.  Maintain confidentiality of information.


17.  Perform other duties as assigned.


 


Supervisory Responsibilities:
None.


 


Equipment Used:
Personal computer, office telephone, printer/scanner, calculator, copier, fax machine, and standard office software.
