Description
The Dental Operations Manager plans, organizes, supervises, coordinates and administratively directs the services of the dental program.
Requirements
- Requires a Bachelor’s Degree and a minimum of 3 years’ experience in a medical or business office.
- Work experience in a community health center dental program preferred.
- Ability to establish and maintain positive and productive relationships with diverse groups of health professionals and other staff.
- Must be a visionary, and positive role model, with supervisory experience and mature judgment.
- Ability to delegate responsibilities and create a climate of teamwork and accountability.
- Strong leadership, organizational, and problem-solving abilities.
- Excellent interpersonal and communication skills, both verbal and non-verbal.

- Must demonstrate excellent internal and external customer service skills.
- Certification as an Interpreter is preferred and ability to provide bilingual patient care is a plus.
· A cell phone is required for this position. ESRHS will provide a monthly stipend towards cell phone reimbursement.
Summary
- Responsible for all administrative, managerial, risk management, and supervisory tasks, that contribute to the dental program (including all office, outreach and school service sites) functioning efficiently while supporting the organization’s strategic goals.
- Train and onboard new employees and ensure they understand their roles and performance expectations.
- Supervise employees' day-to-day performance and access quality of work. Provide recognition/ reward for progress and feedback for improvement. Responsible for completing appraisals, competencies and checklists.
- Provide regular feedback to employees, both positive and constructive, and support and help them with career advancement.
- Create a positive work environment through an open-door policy.
- Address performance, behavior, and work challenges employees encounter in a timely manner, and provide needed training and coaching to ensure they achieve their full potential. Document disciplinary actions per the HR-POL-23 Constructive Counseling/ Disciplinary Process.
- Work collaboratively with Human Resources in the interview and selection process.
- Perform Business Assistant duties as needed.
- Optimize patient service utilization by implementing no show policy, utilizing the designated access scheduling template, mining patients with incomplete treatment plans, and maintaining TEAM bubble for patients waiting to be seen.
- Maintain the provider schedule protecting a continuum of care for patients by assuring dentists’ home dental sites whenever possible.
- Work with the Dental Outreach staff to facilitate access to care for target population patients and assure that Business Assistants in the dental department correctly schedule patients utilizing the Designated Access Schedule.
- Organize and facilitate or delegate regular site Team meetings and Business break out meetings, develop agenda and inform absent employees of proceedings. Send minutes to HR Generalist within 3 days of the meeting.
- Review and approve payroll records.
- Collaborate with dental providers and Dental Clinical Managers regarding all clinical functions of the center; collaborate with the Chief Dental Officer to review and implement policies and procedures necessary to maintain standardization, quality and safety in health care delivery at all sites. Collaborate with other ESRHS Center Managers and the Chief Operations and Clinical Officer regularly to exchange ideas and suggestions for improving daily operations.
- Ensure all sections of monthly EOC audit are completed by the last day of each month and notify any responsible party when designated sections are incomplete.
- Provide and ensure internal and external customer service at designated centers and address all patient concerns in accordance with the Patient Concern Procedure OP PRO 21. Responsible for monitoring completion and results of center surveys, Who Made Your Day cards, and logging in information on the tally sheet.
- Serve as OSHA Safety Manager for the center and complete and/or ensure completion of occurrences per policy.
- Serve as a conduit of information to and from the Senior Leadership Team and committees to center staff.
- Perform operational workflow analysis and communicate outcomes and suggestions for improvement.
- Advocate for ESRHS and the center by being involved in the community.
- Other duties and tasks as directed by the Chief Operations and Clinical Officer.
ADDITIONAL DUTIES ASSIGNED TO DESIGNATED BILINGUAL STAFF
1. If qualified, perform interpretation/translation services for ESRHS centers.
2. If qualified, assist patients with signing up for the Migrant Clinician Network.
