Job Description

The Logistics Coordinator is responsible for the daytoday execution and coordination of transportation activities, supporting truck, rail, and export ocean shipments. The role focuses on shipment setup, carrier coordination, documentation accuracy, and issue followup, operating within defined processes and under the supervision of the Logistics Supervisor.

The ideal candidate brings 1–2 years of operational logistics or shipping experience, is detailoriented, adaptable, comfortable in an industrial or manufacturing environment, and demonstrates a natural sense of urgency in daily execution.

This position requires Spanish and English fluency for effective coordination with Mexican carriers, customs brokers, and local suppliers along with daily communication with Head Office in Canada.

Key Responsibilities

 

Daily Shipment Execution & Scheduling

  • Create, update, and maintain shipment records for inbound and outbound truck and rail moves in the corporate ERP/TMS (Mayer).
  • Schedule daily and next‑day pickups and deliveries in coordination with carriers, yard, and scale operations.
  • Ensure all shipments are fully set up prior to execution, including load details, quantities, and references.
  • Monitor shipments throughout the day and follow up on late arrivals, no‑shows, or delays.
  • Flag missing data, execution risks, or mismatches between planned and actual activity.

 

Carrier Communication & Follow‑Up

  • Coordinate daily with local trucking and rail providers to confirm execution of scheduled moves.
  • Maintain regular communication with carriers to manage arrival timing and load execution.
  • Track basic carrier performance including on‑time pickup and delivery.
  • Escalate missed pickups, service failures, and capacity issues to the Logistics Supervisor.
  • Document recurring carrier issues for follow‑up and corrective action.

 

Rail Shipment & Yard Support

  • Support coordination of rail shipments, including tracking railcar placement, movement, and release.
  • Maintain accurate railcar tracking logs and exception records.
  • Flag missed switches, placement delays, or documentation discrepancies.
  • Ensure rail shipment records align with physical cars loaded and released.

 

Export Documentation & Customs Support

  • Prepare and validate standard export documentation (commercial invoices, bills of lading, packing lists) using approved templates.
  • Coordinate document submission with customs brokers and confirm receipt.
  • Track export clearance status and follow-up on pending or delayed shipments.
  • Verify consistency between shipping documents and actual loaded cargo.
  • Escalate documentation or compliance issues for resolution.

 

Freight Invoice & Cost Support

  • Support carrier invoice review by matching invoices to shipment records.
  • Identify and report discrepancies related to rates, weights, lanes, or charges.
  • Track outstanding invoices to support month‑end close and freight accrual accuracy.
  • Maintain organized and auditable freight cost records.

 

Data Accuracy, Reporting & Issue Tracking

  • Maintain daily logistics tracking tools and ensure data accuracy across systems.
  • Support basic KPI tracking related to shipment execution and service performance.
  • Log recurring operational issues using data‑based examples.
  • Follow standard logistics procedures and contribute to continuous improvement of data quality.

 

What's Required:

  • 1–2 years of experience in logistics, transportation, supply chain, or operations.
  • Exposure to trucking, rail, or export logistics preferred.
  • Manufacturing, metals, or industrial experience is an asset.
  • Prior ERP or TMS system exposure would be strong asset
  • Proficiency in Microsoft Excel for tracking and reconciliation.
  • Strong attention to detail and data accuracy.
  • Highly organized with consistent follow‑up discipline.
  • Comfortable working in a repetitive, execution‑focused, time sensitive tasks
  • Clear communicator who escalates issues appropriately.
  • Willingness to learn and work within established processes.
  • Fluent in Spanish and English (written and verbal).

 

Work Environment & Physical Requirements

  • Mix of office-based work and on-site presence at the scale, yard, and dispatch areas.
  • Requires PPE compliance when working in operational zones.
  • Regular interaction with suppliers, carriers, customs brokers, and Head Office.
