The Executive Assistant will work closely with the CEO, Equity Partners, HR, and COO on a variety of staff, client, and business initiatives. This role will also collaborate with internal and external stakeholders on cross-functional projects and deliverables.

Responsibilities:

  • Proactively support assigned Shareholders and Partners by managing day-to-day priorities, anticipating needs, and balancing competing demands
  • Manage complex calendars, scheduling on-site and off-site meetings while ensuring alignment with priorities and deadlines
  • Coordinate domestic and international travel arrangements and prepare timely, accurate expense reports
  • Plan and manage logistics for internal and external meetings and events, including space reservations, technology needs, and catering across all office locations
  • Serve as a professional point of contact for internal and external stakeholders, supporting executive communications
  • Manage CPE and certification tracking and reporting
  • Handle confidential and sensitive information with discretion and sound judgment
  • Provide administrative support including document management, proofreading and editing, electronic filing, and report preparation
  • Proactively identify opportunities to improve efficiency and support executive effectiveness
  • Support special projects, both professional and occasional personal, as requested
  • Provide reception coverage averaging approximately 5 hours per week, including greeting visitors, answering phones, and supporting front office operations

Qualifications:

  • 1–3 years of experience in an Executive Assistant or similar professional support role within a professional services environment
  • Submission of a professional writing sample required
  • Strong organizational, time management, and multitasking skills with the ability to manage competing priorities
  • Excellent written, verbal, and interpersonal communication skills
  • Sound judgment and ability to operate effectively in a fast-paced environment
  • Strong attention to detail with a focus on accuracy and follow-through
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and related business applications
  • Strong document formatting, preparation, and presentation development skills
  • Ability to handle sensitive and confidential information with discretion and professionalism
  • Flexibility to adapt to changing priorities and responsibilities
  • Willingness to occasionally travel to and work from other office locations

This is a full-time position with standard hours of Monday through Friday, 8:00 a.m. to 5:00 p.m. Additional hours may be required during peak busy seasons.

Pay Range:

The hourly pay for this position is included below. Individual rates within this range are determined by a variety of factors including but not limited to the role, function and associated responsibilities, a candidate’s work experience, education, knowledge, skills, and geographic location.

$28.00 to $35.00 per hour
