SUMMARY
This position assists the Fleet Office Manager and performs a variety of duties required in the operation of the Fleet Services office. Will handle some of the necessary operations of the office in the absence of the Fleet Office Manager.
ESSENTIAL RESPONSIBILITIES
Under the Fleet Office Manager’s supervision, assists in the preparation and maintenance of various records and reports, requiring use of math, personal computer and data entry skills.
Processes Leasing invoices for payment and scans invoices into the system.
Prepares and processes requisitions, vouchers, miscellaneous invoices.
Maintain the fuel and oil supplies, conduct daily, monthly and annual inventories. Performs data entry of fuel and oil related issues.
Assist in the processing of timesheets, leave requests and payroll, as assigned.
Maintains office supplies and fuel and oil inventories in a neat and orderly manner. Initiates purchase to replenish supplies as needed.
Maintains Personnel Training Records.
Maintains the Uniform Inventory and associated payments
Assists in performing routine office duties such as making copies, preparing routine correspondence and the like.
Maintains electronic and paper files in an orderly and organized manner, assists in records management activities and in preparing responses to Open Records requests.
Answers phones, answering questions and responding to complaints in a courteous and concise manner, directing the caller to the appropriate staff member for assistance, and/or taking and delivering detailed messages for the appropriate staff member.
Performs other job-related duties as assigned.
MINIMUM REQUIREMENTS
Requires a High School Diploma or its equivalent and two years of office experience. Knowledge of bookkeeping, accounting, or recordkeeping is preferred. Valid Texas Driver’s License required.
KNOWLEDGE, SKILLS, AND ABILITIES
Good math skills.
Good communication skills, an eagerness to learn, willingness to take and follow instruction, adaptable to changes, and willingness to accept responsibilities.
Ability to handle confidential information in the appropriate manner.
Ability and willingness to take selected City held PC classes as deemed necessary by supervisor.
Ability to operate standard office equipment including a calculator, copier, and multi-line telephone system.
Ability to use a computer for data entry, word processing and accounting purposes (Word/Excel preferred).
