    Job Title:   Campus Secretary                               Wage/Hour Status: Hourly/Nonexempt

    Primary Purpose:
    Ensure efficient operation of school administrative office and provide clerical services for school's administrative staff. 

    Qualifications:
    Education/Certification:

    • High School diploma or GED



    Special Knowledge/Skills:

    • Ability to maintain accurate and auditable records.
    • Strong organizational, communication, and interpersonal skills
    • Ability to perform a variety of tasks.
    • Proficient keyboarding and file maintenance skills
    • Ability to use personal computer and software to develop databases, spreadsheets, and word processing
    • Ability to effectively use district programs with reasonable assistance
    • Ability to communicate effectively (verbal and written)
    • Bilingual: English/Spanish preferred 



    Experience:
    Two years or more secretarial/clerical experience with extensive contact with people required.
    Prior experience in public schools, school district, or another entity preferred.

    Major Responsibilities and Duties:

    Records, Reports, and Correspondence

    1. Prepare campus communications, correspondence, forms, manuals, reports, purchase orders, and payment authorizations following district standards and requirements. Prepare instructional materials and as requested.
    2. Maintain a daily teacher attendance log and records for substitute teachers. Monitor and process time records including leave requests and reports. Compile information and submit it to the central office according to established procedures and deadlines.
    3. Maintain school calendar of events.
    4. Compile, maintain, and file all reports, records, and other documents as required. Maintain student records according to established procedures.
    5. Process records requests received from other school districts and through the Texas Records Exchange System (TREX).
    6. Collect and input the PEIMS (TSDS) data in areas of demographics, special programs, classroom records, leavers, and course completions.
    7. Complete course completion data.
    8. Verify pass/fail indicator codes.
    9. Make corrections on timesheets for paraprofessionals/aides.
    10. Print and email report cards 

      PEIMS Coding
    11. Student Enrollment & Demographics: Responsible for accurately coding new enrollment, demographic updates, and home language surveys into the student information system (SIS).
    12. Leaver Reporting: Managing student withdrawals and ensuring accurate coding for student leaver reports to avoid discrepancies in state reporting.
      Reception and Phones
    13. Receive incoming calls, take reliable messages, and route to appropriate staff.
    14. Assist students, teachers, and parents as needed.
    15. Schedule meetings and appointments and maintain calendar for principal.

      Accounting and Inventory
    16. Prepare and make cash deposits for activity account(s). May be responsible for maintenance of activity check register(s) and ledger(s).
    17. Assist with campus budget preparation and maintain accurate records of expenditures. Prepare and process purchase orders and receive, store, and issue supplies and equipment.
    18. Maintain inventory of fixed assets, equipment, and supplies.

      Other
    19. Assist with planning, preparation, and setup of faculty meetings and campus activities.
    20. Sort, distribute, or deliver mail and other documents.
    21. Maintain confidentiality.
    22. Follow district safety protocols and emergency procedures.
    23. Perform other duties as assigned

     Tools/Equipment Used: Standard office equipment including personal computer and peripherals
     Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
     Motion: Repetitive hand motions, frequent keyboarding and use of mouse; occasional reaching
     Lifting: Occasional light lifting and carrying (less than 15 pounds)
     Environment: Work inside; some districtwide travel; occasional statewide travel
     Mental Demands: Work with frequent interruptions; maintain emotional control under stress

    Terms of Employment:
    Primary Location: High School 
    2025-2026 Clerical/Paraprofessional Pay Plan
    Salary Range: $20.09 (Minimum) - $23.90 (Midpoint)
    Shift Type: Full-Time
    Term of Employment: 226 days
