The office coordinator position on the Kansas City, MO campus is responsible for visitor access and experience and general office support duties established to keep the office environment functioning comfortably, efficiently, and effectively. In addition, the role will provide administrative and coordinative support for various departments and groups as requested.
Essential Duties:
- Provide reception services at the front entrance of 1400 E. 9th Street including monitoring front door access, signing in visitors, ensuring proper identification, and obtaining necessary safety and confidentiality waivers/NDA agreements.
- Receive, process, and deliver all incoming US Mail, UPS/FedEx/DHL deliveries, food/catering deliveries etc.
- Organize, monitor, order, and manage the inventory of all standard or special request office supplies and coffee supplies, needed for all office areas on the KC campus.
- Support the design, ordering, and inventory management of company logo-wear and other company-branded items as directed.
- Support employee recognition, gifts, and special occasions which may include certificate creation, greeting card management, and gift card tracking and reporting.
- Support hospitality services including the ordering of meals, setting up, and cleaning up for visitor and employee events on campus or in local venues.
- Provide basic ordering/purchasing for company Amazon, Staples, ULINE, and other supply vendors.
- Assist HR managers and other Administration department leaders by supporting processes including applicant tracking, interview coordination, onboarding, training efforts, and other HR/Employee related programs.
- Other administrative, office support activities including filing, mailing, laminating, and light cleaning of office areas and work surfaces as needed.
Minimum Qualifications:
- Willingness to happily work in the office five days per week.
- High school diploma or GED
- Strong degree of dependability, reliability, and consistency.
- Familiarity and competency with Microsoft Office tools especially Word, Excel, and PowerPoint.
- Strong attention to detail and organizational skills.
- Friendly, welcoming disposition and interpersonal style.
Preferred Qualifications:
- Previous administrative assistant or office support experience.
- Bachelor’s degree
Work Environment, Physical Demands, Travel Requirements:
- This is a five day per week in-office position.

- Work is performed in an office environment with common office tools. Required to receive and make telephone calls, send and receive email, text, and instant messages, maintain documents/records, communicate with coworkers and business partners.
- Majority of time is spent performing essential functions around a desk/table arrangement while occasionally moving to other locations for meetings, discussions, or fulfillment of duties.
- Must enter and interpret computer data, read, and file documents with small letters/numbers/symbols on documents and electronic devices.
- Moves boxes and materials weighing less than 25 pounds.
- Lifting or raising small objects and parcels from the ground to a tabletop, occasionally lifting overhead.
- Travel by airplane and/or personal vehicle to and from other office locations is not expected in this role.
