Description

Summary:

The Receptionist serves as the primary point of contact for The Guild for Human Services, providing a welcoming, professional presence for visitors, staff, and callers. This role is responsible for managing front desk operations, monitoring building access, handling incoming communications, and providing essential administrative support. The ideal candidate demonstrates strong interpersonal skills, sound judgment, and the ability to multitask while maintaining composure in a fast-paced and occasionally high-stress environment.

 

Major Duties/Responsibilities:

  • Greet guests, families, students, staff, and visitors; manage door entries using the S2 security system
  • Answer incoming telephone calls; route calls appropriately; monitor and manage the general mailbox
  • Prepare front desk in morning; store items for overnight security at end-of-day
  • Support morning and afternoon bus duty teams with transition clipboard, paperwork and van keys
  • Allocate vans for daily vehicle needs including CEs and appointments; maintain key pouches, gas slips and work with Facilities regarding vehicles out-of-service
  • Manage and respond to email communications in support of agency operations
  • Process and distribute agency-wide paperwork, including Daily Minutes, Sign In/Sign Out logs, and student attendance tracking
  • Operate postage meter; coordinate courier services; sort and distribute incoming mail
  • maintain of staff changes-in-position paperwork
  • Receive and manage deliveries (including Amazon orders); compare shipments with invoices and notify recipients upon receipt
  • Prepare materials for new employee orientation
  • Provide departmental coverage
  • Perform other administrative duties as assigned including copying, faxing, data entry and filing
  • Assistance with special projects, events

Requirements

  • Previous administrative or receptionist experience preferred.
  • Demonstrated ability to manage multiple tasks, prioritize effectively, and meet deadlines
  • Ability to maintain confidentiality and exercise discretion at all times
  • Physical and mental capacity to function effectively in stressful or time-sensitive situations
  • Regular and reliable attendance is an essential function of the position, including during inclement weather and select holiday schedules
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and related applications
  • Undergo Dept of Early Education and Care background check requirements
