Job Description

About the Department

This position provides project management support and professional and administrative support to the Voter Services Department.



Position Duties

  • Provide professional level staff assistance to the Director and Assistant Director in areas related to projects addressing voter experience, campaign finance and other department initiatives and strategic priorities.

  • Campaign Finance Program Lead - liaison to all candidates and political committees, implement database and communication system tools.

  • Answer elevated staff and questions from the public about municipal offices and nominations processes.

  • Implement automation and electronic conversion of campaign finance records and filings.

  • Assist with the formulation or revision of departmental policies and procedures to conform with legal requirements.

  • Coordinate department COOP plan.

  • Coordinate Right to Know requests.

  • Monitor and coordinate Line Management program related to voter experience at the polls.

  • Provide training assistance for the poll worker program.

  • Coordinate and assist the Director and Assistant Director with all aspects of polling location issues - ADA compliance, site logistics, party watcher program, etc.

  • Participate on the Computation Board and/or Provisional Board. 

  • Coordinate the documentation of department procedures.

  • Coordinate, assign, and support other department special projects. 

  • Process voter registrations and absentee voting requests (military and civilian).

  • Perform clerical tasks, when necessary (front desk, telephone, filing, copying, data entry, mail routing, typing, etc.).

·         Perform other duties, tasks and special projects, as required.          

Minimum Qualifications

Qualifications / Requirements:

  • Associate’s degree from an accredited college or university, or equivalent combination of education and experience.

  • Experience dealing with the public.

  • Experience in researching and reporting on findings.

  • Strong project management skills. 

  • Strong analytical skills.

  • Strong organizational skills.

  • Strong interpersonal skills.

  • Strong time management skills.

  • Ability to persuade and influence others without direct authority.

  • Strong verbal and written communication skills.

  • Knowledge and skill with standard office equipment (fax, copier, etc.).

     

    Preferred Skills, Knowledge & Experience:

  • Three or more years of experience with hands-on knowledge of administrative responsibility.

  • Experience in conducting legal research and reporting findings.

  • Strong customer service skills.

  • Ability to deliver uncomfortable messages and work with dissatisfied/upset customers

  • Ability to communicate with high profile customers.

  • Strong professional ethics.

  • Flexibility.
