Employment Type:

Full-time (40 hours per week)



Base Hourly:



$17.53



Class/Calendar:



A13, 12 months



Benefits:



Vacation, sick leave, holidays, retirement matched through the Arizona State Retirement System, health, and life insurance



Performance Pay:



Available annually



New Hire Experience:



1% of the base hourly rate granted for each year of verified like experience (within ten years) beyond the requirement, up to a ten-year maximum



New Hire Education:



1% of the base hourly rate awarded for an AA or higher degree if not required for the position



 


Job Summary:


 


To establish and maintain special education student records; to ensure the accuracy and availability of data to provide documentation for dissemination of information to appropriate parties; and to contribute to the efficient operation of the work unit. 


 


Key Responsibilities:



  • Record and maintain central office records for special education programs on Synergy and OnBase

  • Coordinate all registration activities (entering, dropping, changes, etc) with schools

  • Process incoming and outgoing requests of special education records from appropriate parties

  • Process Synergy query requests for appropriate personnel

  • Review special education paperwork for accuracy and compliance

  • Maintain current, accurate information to track special education student census 

  • Process, prepare and submit reports for district, state and federal requests regarding special education student census data

  • Perform general clerical tasks including telephone use

  • Respond to inquiries, or direct to appropriate personnel, to provide information and/or direction

  • Participate in additional training in use of student database systems (Synergy)

  • Regular and on-time attendance required

  • Perform other related duties, as assigned, to ensure the efficient and effective functioning of the work unit

  • Assists with other assigned duties as appropriate to the area of assignment and Mesa Public Schools 


Required Qualifications: 



  • High School education or equivalent

  • Minimum two years clerical experience

  • Moderate proficiency in typing with good accuracy; above average test battery

  • Computer proficiency to include use of basic software applications (Word, Excel, etc); proficiency in use of student database system (Synergy)

  • Ability to operate standard office equipment

  • Ability to organize, prioritize, take initiative and meet deadlines with an accurate attention to detail while working with frequent interruptions, change in assignments and minimum supervision

  • Ability to effectively communicate (verbal and written) with students, parents, district personnel at all levels and general public; to be tactful and diplomatic at all times; to maintain confidentiality

  • Ability to establish and maintain cooperative and effective working relationships with students, parents and district personnel at all levels

  • Ability to lift moderate to heavy boxes 


Work Environment & Physical Requirements:



  • May be located within the main office, special education department, or district-level office

  • Typically follows standard school hours (e.g., 7:30 AM – 4:00 PM), Monday through Friday

  • Frequent interaction with special education teachers, administrators, parents, and district staff

  • A high level of confidentiality is required due to handling sensitive student records (e.g., IEPs, psychological evaluations)

  • Heavy use of computers, student information systems (SIS), electronic filing systems, printers, copiers, and possibly fax machines

  • Occasional lifting of boxes or files, generally under 25 pounds
