The Coordinator, Core Services Programs and Data assists in
the development, implementation, and administration of correctional programs, data
systems, policies, and procedures. Creates and maintains document libraries, systems of record, and reports
for all areas within the Correctional Programs department.
ESSENTIAL FUNCTIONS:
The incumbent should be able to perform the following
functions at a pace and level of performance consistent with the job
performance requirements.
- Collects information related to program activity to include enrollments, completions, and general recordkeeping.
- Assists with data entry and data quality checks as directed.
- Compiles narrative and illustrated explanations of sample data for accreditation in licensure agencies.
- Establishes systems to ensure compliance with filing deadlines and expectations of regulatory agencies.
- Maintains resource materials, regulatory documents, and agency policies.
- Compiles lists of substantive changes to legal, regulatory and compliance documents for distribution to corporate and field staff.
- Ensures timely response to team and field staff requests for support materials, new curricula and regulatory documents.
- Responds to technical issues and support requests regarding COATS.
- Generates consolidated reports for corporate and facility use, when requested.
- Maintains Core Services departmental intranet site.
- Coordinates the collection of and preparation of data for multiple recurring reports, including monthly metrics.
- Maintains various department databases, including PREA, re-entry, and chaplaincy.
Attends meetings and maintains and distributes minutes to participants. - Coordinates HR-related documents for reentry services team for holidays, PTO, and other personnel requests.
- Updates and maintains team calendars to ensure availability and consistency in the department.
- Processes and tracks payment requests and invoices, enters data into accounts payable and vendor management systems, and assists with monitoring and tracking the departmental innovations budget.
- Coordinates the preparation and distribution of packages, materials, and mailings within the reentry services team.
- Assists with travel coordination for team members as needed.
- Domestic U. S. travel may be required.
QUALIFICATIONS:
- High School diploma, GED certification or equivalent is
required. - 3+ years of experience in
secretarial or administrative office work required. - Additional qualifying education at an
accredited college, business school, or technical institute in office
administration or an acceptable related field may be substituted for the
required experience up to 2 years. - Advanced
training and experience in Microsoft Office applications is required.
