Job Description

Responsibilities:

  1. Administrative Support:
    • Manage calendars, schedule meetings, and coordinate appointments for the Directors.
    • Prepare and distribute correspondence, memos, reports, and presentations as needed.
    • Maintain accurate records and documentation, including filing and data entry.
  2. Communication Liaison:
    • Serve as the primary point of contact for internal and external inquiries, redirecting them as appropriate.
    • Facilitate communication between departments and stakeholders within the CCRC.
  3. Project Coordination:
    • Assist in planning and organizing special projects and events led by the Environmental Services department.
    • Monitor project timelines and deliverables, ensuring deadlines are met.
  4. Financial and Resource Management:
    • Assist with budget tracking, expense reports, and procurement processes.
    • Maintain inventory records for supplies and equipment used by the Environmental Services team.
  5. Documentation and Compliance:
    • Ensure compliance with regulatory requirements by maintaining accurate records and documentation.
    • Assist with preparing materials for audits and inspections.
  6. Team Support:
    • Collaborate with other administrative staff and departments to support overall CCRC operations.
    • Provide backup support to other administrative roles within the CCRC when needed.

 

Qualifications:

  • Proven experience as an administrative assistant or similar role, preferably in a healthcare or senior living environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
  • Strong verbal and written communication skills.
  • Attention to detail and problem-solving abilities.
  • Ability to handle confidential information with discretion.

 

Preferred Qualifications:

  • Familiarity with environmental services or facilities management operations.
