JOB SUMMARY 

Under the direction of the VP, Human Resources and Chief of Staff, the Senior Administrative Assistant provides high-level administrative support to the CEO and Chief of Staff & VP of HR. This role ensures seamless operations for the executive team by managing complex calendars, coordinating leadership communications, working with the Chief of Staff to prepare Board and strategic planning materials, and supporting company-wide initiatives, as requested. The Senior Administrative Assistant demonstrates exceptional organizational skills, discretion, and the ability to anticipate needs in a fast-paced environment. This is a hybrid role with a weekly onsite requirement at the Redwood Falls/Morton, MN location.   

ESSENTIAL FUNCTIONS 

  • Proactively manage and prioritize calendars for CEO, CFO, and Chief of Staff & VP of HR, coordinating with Granite Companies as needed, for executive interviews and other important meetings and events. 
  • Schedule executive meetings, and assist with agenda preparation, presentation development, and logistics. 
  • Maintain and update the AMHI leadership availability and events calendar, as needed. 
  • Serve as payroll backup, ensuring payroll is processed in accurate and timely manner. 
  • Assist Chief of Staff with material creation and preparationincluding strategic planning documents, business, people and financial reports, and presentation for Board meetings, All-EE Meetings, planning meetings, etc. 
  • Assist with execution and coordination of internal communications plan. 
  • Assist with or manage all-AMHI team event reservations and planning; periodically assist with the support employee programs (recognition, wellness, engagement). 
  • Coordinate travel arrangements and itineraries for executives.  
  • Assist with learning assignments, path creation and content management for Docebo, as time allows. 
  • Liaise with internal teams and external partners to facilitate priorities and projects, at the request of the Chief of Staff 
  • Support strategic initiatives, audits, and organizational events as assigned. 
  • Maintain confidential files and records; ensure accurate document control. 
  • Maintain strict confidentiality and demonstrate professionalism and sense of humor when collaborating.

QUALIFICATIONS 

  • Bachelor’s degree preferred; equivalent experience considered. 
  • Minimum 5 years of experience supporting senior executives. 
  • Advanced proficiency in Microsoft Office Suite (advanced Excel and PowerPoint) and virtual collaboration tools. 
  • Exceptional organizational, communication, and problem-solving skills. 
  • Ability to manage multiple priorities under tight deadlines. 
  • High level of discretion and integrity. 
  • Knowledge and experience processing payroll in a mid-sized business preferred. 

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT 

  • Ability to sit and use a computer most of the workday. 
  • Occasional lifting up to 15 pounds. 

Summary

We offer a competitive annual base salary of $54,000 to $63,000 range, based on experience and qualifications, along with annual bonus and profit-sharing opportunities tied to performance.
