Your role at St John of God Bunbury Hospital

St John of God Bunbury is seeking a motivated Casual Administration Assistant to join our Patient Services Team. Successful candidates will be responsible of ensuring a high quality service is provided for the admission of all patients and associated clerical functions , delivering a consistently high standard of professional, welcoming service to patients, caregivers, and the health care team.

This role involves providing comprehensive admission, reception, and clerical support, with availability to work flexible shifts between 6:00 am and 9:00 pm, including occasional after-hours work. As a result, this position is not suitable for candidates seeking school-hours-only employment. Flexibility, professionalism, and a strong commitment to patient-centred care are essential.

The Position

  • Ensure all patients are admitted according to the criteria and policies of the Department.

  • Provide patients with all relevant information and ensure as far as possible that they have a good understanding of costs involved in their period of hospitalisation, and refer to Finance Manager as necessary.

  • Record details of all Admissions, Inpatients, Day Cases and Outpatients i.e. personal details, workers' compensation, SGIC, hospital insurance cover. If uninsured, explain hospital procedure policy concerning fees - liaising with Finance Manager.

  • Conduct Health Fund checks and ensure informed financial consent documentation is completed.

  • Ensure relevant documents are completed and all personnel involved are notified of impending admission.

  • Ensure each patient is taken to their Ward as promptly as possible after admission procedure, providing assistance where necessary.

  • Ensure relevant paperwork, including previous records, are delivered to the Ward for each patient.

  • Greets all visitors and patients and informs relevant staff members of their arrival

  • Maintains and improves public relations by dealing with customer enquiries and requests

  • Answers all incoming and internal calls and ensures they are connected to the correct extensions with the minimum delay, in a pleasant and courteous manner

  • Makes outgoing calls as required for patients, or guests, recording all details of ISD calls

  • Reports all telephone equipment faults to the appropriate authorities

  • Maintains a neat, professional appearance along with a friendly countenance

    Candidates will bring previous experience in an administration and/or reception role, along with a high level of communication and interpersonal skills, both written and verbal. You will be confident engaging with a diverse range of people and able to provide a warm, professional, and patient‑focused service in a busy health care environment.

    You will also demonstrate strong organisational skills and excellent attention to detail, with the ability to work effectively both independently and as part of an interactive team. Sound computer literacy, including experience using MS Office and relevant databases, is essential, as is the ability to manage tasks efficiently while adapting to changing priorities.
