Requirements
Position Purpose:
Under the direct supervision of the Director, to provide clerical, secretarial and administrative support.
Essential Functions:
- Maintains documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.
- Process all applications for food insecurity assistance. Communicate with families and work as a go-between to the District McKinney Vento Liaison. (Homeless, Migrant, Foster)
- Communicate with families via the District's Bilingual Liaisons as needed.
- Work between accounting department and schools to balance daily cash drawers
- Compile daily sales data used for USDA reimbursement. Submit a monthly claim to the Indiana Department of Education.
- Monitor student account balances. Send letters weekly for negative balances. Work with families and accounting to clear out inactive accounts.
- Work with the District Treasurer on State Report balancing and receipts.
- Department Office Management, monitor and order office supplies and uniforms.
- Answers telephone calls, and provides information and assistance to callers.
- Create Catering invoices and charge accordingly.
- Order and manage kitchen throughout the year
- Distribute New Hire Checklist
- Monitor and track Health Department inspections.
- Create a yearly "Wish List" for purchases. Compile a list of daily use kitchen items in the spring, then get three competitive price quote for items managers need for the year. Please orders over the summer, monitor shipments and distribution.
- Distributes incoming mail appropriately; sends outgoing mail.
- Evaluates situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
- Processes student meal applications with special attention to state regulations.
- Payroll responsibilities: check timesheets, monitor and record employee corrective actions, maintain the attendance book.
- Responsibilities involving Accounts Payable: work in FMS software, receives invoices and communicates with the Director of Nutrition Services to obtain signatures, creates requisitions, creates POs.

Travel Requirements:
Limited travel to and from meetings and schools may be required.

Summary
Qualifications Profile:
- Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
- Graduation from high school
- Associates degree with coursework in business, math, word processing, office procedures and record keeping preferred.
- Bachelor's degree preferred.
- Successful experience with office management is preferred.
