Chief of Staff ManagerJob Description:
HITT is seeking a highly organized, execution-focused Chief of Staff to support the CEO and strengthen the effectiveness of the Executive Office, with impact across the enterprise. This role requires someone who operates with a deep respect for detail and a commitment to excellence, not as a catchphrase, but as a standard reflected in how work is prepared, communicated, and delivered. The right candidate understands that precision, completeness, and quality are what enable speed, trust, and strong decision-making at the executive level.
This role is responsible for ensuring that the CEO’s priorities are executed and that time, attention, and decision-making are protected and optimized through structure and discipline. Operating as part of a coordinated team and in close partnership with the Executive Business Partner, this individual manages the flow of work into the CEO—shaping materials, driving clarity, and ensuring that all inputs are aligned to enterprise priorities. This includes direct ownership of the preparation and quality of key materials and meeting outputs, such as agendas, presentations, decisions, and follow-through. They bring a high level of ownership to every detail, ensuring nothing falls through the cracks by closing loops and maintaining accountability across stakeholders.
The Chief of Staff plays a critical role in translating direction into execution and bringing structure, follow-through, and consistency to how the CEO engages with the business. This role also leads and develops an Associate Chief of Staff, ensuring the Office operates with leverage, efficiency, and high standards.
Responsibilities
Readiness Management
Ensure all materials, requests, and decisions reaching the CEO are clear, complete, and decision-ready
Manage intake, triage, and routing of work to the CEO, reinforcing standards for quality, clarity, and timing
Anticipate needs and proactively prepare the CEO for key meetings, decisions, and communications
Partner with the Executive Business Partner to align on priorities, sequencing, and what is elevated to the CEO
Refine presentations, communications, and recommendations to ensure clarity, alignment, and executive-level quality
Governance & Meeting Execution
Own governance and CEO-led meeting operations, including agendas, materials, and documentation (minutes, decisions, action items)
Maintain governance structures and oversee internal policies and ensure they are maintained, organized, and aligned across the organization
Attend select meetings with the CEO to capture key discussions, decisions, and ensure follow-through
Coordinate board and committee materials, ensuring accuracy, completeness, and timely delivery
Enterprise Coordination and Alignment
Serve as a central coordination point for CEO-prioritized work, ensuring initiatives are clearly defined, aligned, and progressing
Partner with leaders to translate direction into actionable next steps and drive follow-through across teams
Identify gaps, risks, or lack of ownership and step in to resolve issues or advance work as needed
Maintain visibility across key initiatives while reinforcing standards for communication, escalation, and preparation
Team Workflows & Leadership
Lead and develop the Associate Chief of Staff, setting priorities and ensuring excellence and high-quality output
Partner with the Executive Assistant to ensure seamless coordination of calendar, materials, and priorities
Collaborate closely with the Operations Chief of Staff and team
Develop and coordinate enterprise communications in partnership with communications team
Special Projects & Ad Hoc Execution
Lead and execute high-priority, time-sensitive projects on behalf of the CEO
Provide structured problem-solving and support across a range of business needs
Step into areas requiring additional capacity to ensure progress and completion
Qualifications
5–10 years of professional experience, including prior experience as a Chief of Staff or in a comparable role supporting senior executives
Experience operating in fast-paced, high-expectation environments with the ability to manage multiple priorities simultaneously
Strong organizational skills and attention to detail, with a proven track record of driving work through to completion
Excellent written and verbal communication skills, with the ability to prepare clear, concise materials for executive and board-level audiences
Strong interpersonal skills and the ability to build relationships and coordinate effectively across teams and leadership levels
Sound judgement and discretion, with the ability to handle sensitive and confidential information
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and experience preparing high-quality presentations
Experience with project management or work tracking tools (e.g., Asana)
Experience in construction, real estate, or the built environment preferred
