WHAT THIS ROLE WILL BE DOING:

The Executive Assistant provides high-level administrative and operational support to the President & CEO. This role serves as a trusted partner to leadership, ensuring executive priorities, travel, and communications are handled seamlessly. The ideal candidate is highly organized, proactive, and comfortable balancing executive support with day-to-day operational oversight in a fast paced environment. 

Duties & Responsibilities

Executive & Administrative Support

·         Provide direct administrative support to the President & CEO, including complex calendar management, scheduling, and meeting coordination.

·         Manage domestic and international travel arrangements, including flights, accommodations, itineraries, and logistics.

·         Prepare, submit, and reconcile executive expense reports, including travel-related costs.

·         Draft, edit, and manage correspondence, presentations, reports, and meeting materials while maintaining accurate, confidential document control and records management systems.

·         Act as an extension of the executive in written and verbal communications, exercising delegated authority where appropriate

·         Partner with the executive to support high-impact meetings through thoughtful preparation, effective documentation, and disciplined follow-through

·         Anticipate executive needs, manage shifting priorities, manage sensitive and confidential communications with discretion and professionalism

Office Management & Operations

·         Oversee daily office operations and maintain office policies, procedures, and administrative standards to ensure a productive and professional work environment

·         Oversee office resources, equipment, and vendor partnerships to ensure operational efficiency and continuity

·         Coordinate facility maintenance and liaise with building management as needed.

·         Oversee end-to-end logistics event planning and coordination to include venue selection, agendas, travel coordination, materials, catering, and technology setup

·         Partner with HR and Finance teams with onboarding logistics, expense reporting, and administrative documentation.

·         Coordinate administrative workflows and delegate tasks as appropriate to ensure timely execution and follow-through.

Education / Experience

·         Minimum of 5+ years of progressive experience supporting senior executives in an Executive Assistant or similar administrative role.

·         Exceptional organizational, multitasking, and time-management skills with strong attention to detail.

·         Excellent written and verbal communication skills, with the ability to interact effectively across all levels of the organization.

·         Proficiency in various types of software (Microsoft Office Suite, PDF, Travel Management) to include Board Meeting Software.

·         Ability to work independently, exercise sound judgment, and adapt to changing priorities.

·         Demonstrated experience handling confidential and sensitive information with professionalism and discretion.

Working Demands / Physical Requirements

·         In-Office requirement- Schofield, WI

·         Primarily office-based role requiring prolonged periods of sitting, computer use, and telephone communication.

·         Work schedule may include evenings and weekends as business needs dictate.

·         Occasional travel required, including potential domestic and international trips.
