PURPOSE: 
The Workplace Coordinator I will play a crucial role in ensuring the smooth and efficient operation of the CareFirst workplace, while working to enhance the employee experience. This role is essential for maintaining an efficient, productive, organized, and welcoming workspace for all employees and visitors. The Workplace Coordinator I will assist with a variety of tasks, ranging from facility coordination to administrative support. 

The Workplace Coordinator will primarily work in a a CareFirst office. The role may require occasional lifting of supplies and materials and the ability to move around the office to perform various tasks. Standard working hours apply, but there may be occasional requirements for flexibility to support events, or special projects, or afterhours facility emergencies or repairs.


ESSENTIAL FUNCTIONS:

  • Administrative Support: Assist with various administrative tasks in support of workplace related projects, tasks and initiatives including but not limited to: scheduling, document and records management, mail and package services, fleet management, data entry, invoice validation, invoice processing, and office communications.
  • Facility Management: Assist with intake process related to maintenance/building requests including repairs, and cleanliness of the workspace. Coordinate vendor services. Order and restock office and pantry supplies. 
  • Health and Safety: Ensure compliance with health and safety regulations and promote a safe working environment.
  • Responsible for one or more of the following:
  • Reception Duties: Greet, assist and escort visitors and vendors through CareFirst offices. Manage the front desk and handle incoming calls and emails.  
  • Event Coordination: Assist with the planning and coordination of internal events, meetings, and conferences, ensuring all logistical aspects are managed efficiently.
  • Space Planning: Assist in planning and organizing office layouts to maximize space efficiency and employee comfort.

QUALIFICATIONS:

Education Level: High School Diploma or GED

Experience: 1 year experience in office management, facilities coordination, or a similar role is highly desirable.

Knowledge, Skills and Abilities (KSAs)

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive and confidential information with discretion.
  • Problem-solving skills and a proactive approach to tasks.
  • Detail-oriented with a focus on quality and accuracy.
  • Must be able to meet established deadlines and handle multiple customer service demands from internal and external customers, within set expectations for service excellence. Must be able to effectively communicate and provide positive customer service to every internal and external customer, including customers who may be demanding or otherwise challenging.

Salary Range: $41,040 - $75,240
