Job Description

Hypower, LLC is looking to hire a Full-time Monday-Friday 8:00 AM to 5:00 PM Project Coordinator for our Operations / Project Management Department in our Pembroke Park Office, and report to Office Manager / Division Management Team. 

The Project Coordinator plays a critical support role within Hypower’s project delivery team, providing financial, administrative, and coordination support to Project Managers across commercial electrical construction and service projects. This position focuses on project setup, budget management, cost control, documentation, and cross-functional coordination, ensuring projects are properly established, financially tracked, and executed efficiently from award through closeout.

The Project Coordinator acts as a key liaison between Project Management, Field Operations, Accounting, Vendors, and Clients, supporting accurate reporting, compliance, and communication throughout the project lifecycle.

Responsibilities:

     1. Project & Budget Management Support

  • Assist Project Managers with initial project setup, including budget entry, cost code configuration, and job cost forecasting.
  • Review project estimates, scopes of work, and contracts to ensure alignment with approved budgets and project requirements.
  • Maintain and update ongoing budget revisions, projections, and cost-to-complete (CTC) reports throughout the life of the project.
  • Support permit applications, tracking, and project closeout documentation in coordination with Project Managers and field teams.
  • Supports monthly billing cycles for projects.  Supports Project Management teams in extracting billing forms prior to billing, ensures the billing is completed, over cost of the month and submits to client/customers.

  1. Cost Control & Financial Tracking
  • Track and monitor job costs including labor, materials, equipment, subcontractors, and other direct project expenses.
  • Assist with monthly cost reviews, variance analysis, and financial forecasting meetings.
  • Support change order pricing, documentation, and integration into project budgets, including entry and updates in Spectrum and other financial systems.
  • Support invoice communications between Project Management teams and vendors/subcontractors to ensure timely review, resolution, and processing.

  1. Documentation & Contract Administration
  • Manage and maintain essential project documentation, including contracts, change orders, submittals, RFIs, meeting minutes, and closeout packages.
  • Ensure all financial and contractual documentation aligns with contract terms, billing requirements, and internal compliance standards.
  • Assist in organizing and submitting required documents for owner, GC, and internal audits as needed.

  1. Cross-Functional Coordination
  • Serve as a liaison between Project Management, Field Operations, Accounting, Preconstruction, and Purchasing teams.
  • Support communication, scheduling, and workflow coordination between departments to maintain project continuity and accuracy.
  • Assist with internal project meetings, reporting, and information flow to ensure stakeholders remain aligned.

  1. Vendor, Customer & Compliance Support
  • Coordinate with vendors and subcontractors regarding pricing, procurement documentation, insurance, and compliance requirements.
  • Support Project Managers in ensuring projects comply with safety policies, contractual obligations, and client requirements.
  • Assist with documentation related to safety compliance, certifications, and closeout deliverables.

Qualifications: 

  • Strong understanding of construction project accounting and job cost tracking (electrical construction preferred).
  • Experience working with job cost systems such as Spectrum, Trimble, Procore, or similar platforms.
  • High attention to detail with the ability to manage multiple projects and deadlines simultaneously.
  • Strong communication and organizational skills with the ability to work across departments.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and document management systems.
