Job Description

This role is subject to a flexible hybrid work arrangement requiring a minimum of 1-2 pre-determined days per week in our mid-town office.

SUMMARY

The Administrative Associate is responsible for administration functions for the Clinical Trial Center (CTC).

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Train on procedures, logistics, and study-specific systems related to the handling of imaging and case report forms (CRFs).
  • Receive all packages and notifications for core labs, reviewing each for completeness.
  • Log incoming media into the core lab tracking database.
  • Logging out completed analysis into the tracking databases
  • Create and maintain e-charts for core labs, ensuring all folders related to the workflow of core lab analysis are organized and auditable.
  • Handle CRFs for core labs
  • Ensure that all CRF patient identifiers, time points, and dates match across the imaging, e-chart, and tracking database.
  • Sending out confirmation emails to PM’s/sponsors once medias are received or data entry is completed when requested
  • Run study-specific reports and provide status updates to industry sponsors and external stakeholders.
  • Perform data entry and data verification in Electronic Data Capture (EDC) systems, Excel files, and other platforms.
  • Identify problematic imaging or data and consult with core lab directors, analysts, and operational support staff as needed.
  • Support the interface across cross functional groups to support EDC set up, participate in User Acceptance Testing (UAT), and any other requirements to ensure data integrity.
  • Support the query resolution activities under the direction of core lab directors or designees.
  • Support core lab operations and infrastructure related to imaging analysis and data collection.
  • Perform other administrative or data-related tasks as assigned.

QUALIFICATIONS

  • Associate’s degree preferred.
  • 1-2 years of administrative/clerical experience providing support for manager(s). Prior experience supporting MDs a plus.
  • Must be proficient in Microsoft Excel, Word, and Outlook.
  • Strong focus on flexibility, ability to multi-task, attention to detail, excellent organizational skills, good follow-up and judgment. Must be able to prioritize.
  • Must be able to understand the expectations and daily workflow of physicians. Willingness and flexibility to occasionally work evenings and weekends to support needs of the physicians.
  • Ability to effectively communicate verbally with physicians, imaging companies, other CRF employees, and outside vendors as required. Ability to communicate effectively when reading and writing e-mail, memos and presentations on behalf of the doctor.
  • Ability to analyze information and solve problems relating to organizing and logging of important documents.

COMPENSATION

The hiring range for this position is $41,000 - $46,000 per year. The annual salary that will ultimately be offered to the successful candidate will depend on job-related knowledge, education, skills, and experience.
