At Thompson Hospitality, the Accounting Specialist is a vital contributor to the financial health and operational excellence of the organization. Serving at the core of our accounting team, this role drives the accuracy and efficiency of accounts payable (AP) processes while supporting broader financial operations. From ensuring seamless invoice processing to fostering strong vendor partnerships and contributing to month-end close activities, this position plays a hands-on role in keeping our business running smoothly. Responsibilities
- Process and verify invoices, ensuring accuracy, proper coding, and compliance with company policies and internal controls
- Maintain vendor records and respond promptly to vendor inquiries regarding invoices, payments, and account status
- Monitor accounts payable inboxes and manage communication related to vendor and internal payment inquiries
- Perform comprehensive accounts payable reconciliations, including proactively contacting vendors for statements, comparing statements to internal records, and researching variances and ensuring timely resolution of discrepancies.
- Process petty cash reimbursements and check requests in a timely and accurate manner
- Review daily sales data, syncing data between systems (e.g., Craftable and NetSuite)
- Review, validate, and sync approved invoices from operational systems into the accounting system
- Partner with GMs and operational teams to provide support and guidance on accounts payable processes
- Maintain detailed vendor tracking schedules to ensure invoices are paid timely and recorded in the correct accounting period
- Perform reconciliations for third-party delivery platforms
- Assist the Staff Accountant with monthly and weekly journal entries
- Support bank reconciliations by monitoring daily ACH activity and credit card deposits
- Contribute to month-end close processes and ensure deadlines are met
- Assist the Staff Accountant with additional accounting tasks and special projects as assigned.
Qualifications
Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred.
2+ years of experience in accounts payable or a related finance role.
- Proficiency in Netsuite preferred.
Proficiency in Microsoft Excel.
Strong attention to detail and ability to manage multiple tasks.
Excellent communication and problem-solving skills.
Knowledge of GAAP and general accounting principles is a plus.
Be a self-starter with the ability to work with little to no direction and take initiative.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times (e.g., files, laptop, office equipment).
- Ability to use hands and fingers for keyboarding, writing, and calculator use.
- May occasionally need to stand, bend, or reach during filing or light office organization.
- Visual acuity required for viewing computer screen and reviewing detailed financial documents.
- Ability to communicate clearly and effectively, both verbally and in writing.
