Job Title: Secretary – Athletics (0423)                                           
Reports to: Executive Director of Health, P. E. & Athletics


Dept. /Campus: Athletics


Wage/Hour Status: Non-Exempt                                                   
Pay Grade: P30

Primary Purpose:
Provide secretarial and support service for the Executive Director, Directors, and the Assistant Director. Coordinate and organize routine office functions.


 


Qualifications:



  • College hours, high school diploma or GED

  • Proficient typing, word processing, and file maintenance skills

  • Excellent organization, communication, and interpersonal skills

  • Minimum five years office experience

  • Ability to compose correspondence

  • Competent with word processing and database software

  • Excellent telephone and people skills

  • Ability to work with and maintain confidential records

  • Creative ability to design brochures

  • Three years secretarial experience, preferably in a public education environment.


 


Major Responsibilities and Duties:



  1. Answer phones and greet visitors, take reliable messages, and route to appropriate staff

  2. Prepare correspondence, forms, reports, etc., for the department head and other staff members

  3. Compile pertinent data as needed when preparing various state and local reports

  4. Maintain physical and computerized department files

  5. Open and distribute mail.

  6. Compile athletic schedules as needed.

  7. Maintain game schedules.

  8. Assist the other support staff as needed.

  9. Assist with preparation of Season Ticket Sales.

  10. Assist with the preparation of purchase orders and payment authorizations.

  11. Receive, sort, and distribute mail and other documents to department staff.

  12. Assist with the processing of temporary employee timesheets for payment.

  13. Prepare facility and maintenance requests.

  14. Maintain forms control and ordering of office supplies.

  15. Compose letters/memos and type all other department correspondence as needed.

  16. Create and update coaching addresses and stipend database.

  17. Make necessary travel reservations for department, regional competitions and playoff games.

  18. Maintain the confidentiality of information.

  19. All other duties as assigned.

Equipment Used:

Personal computer, printer, copier, telephone, calculator, and fax machine.


 


Working Conditions:
Maintain emotional control under stress. Work with frequent interruptions. Repetitive hand motions and prolonged use of computer.
