We are seeking a detail-oriented and dependable Brokerage Accounting Coordinator to support our accounting and payables functions in a high-volume freight brokerage environment. This role will assist with carrier setup, payment accuracy, invoice processing, AP exception management, and daily financial transactions related to the brokerage business unit. This hourly Part-Time seasonal position reports to the Accounting Manager.
DUTIES AND ACCOUNTABILITIES:
- Enter new carrier information into the system
- Process and validate invoices for accuracy and completeness
- Ensure timely and accurate payments to carriers in line with company policy
- Resolve AP exceptions, invoice discrepancies, and payment issues with carriers and internal teams
- Support inbox management and respond to payment inquiries and disputes
- Collaborate with Carrier Sales, Compliance, and Operations to ensure data integrity
- Maintain documentation and follow SOPs for brokerage accounting procedures
- Communicate with factoring companies regarding outstanding payments and documentation
- Track invoice processing trends and support reporting efforts as needed
- Assist with carrier onboarding data entry in tools like Highway and TriumphPay
- Support internal audits and help identify areas for process improvements
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
- 1–2 years of experience in AP or accounting support, preferably in logistics or transportation
- Familiarity with tools like TriumphPay, Workday, MercuryGate, Turvo, or TAI is a plus
- Basic proficiency in Excel (pivot tables, VLOOKUPs, data entry)
- Strong attention to detail and problem-solving skills
- Good communication and organizational skills
- Experience working with carriers and factoring companies preferred
PREFERRED EDUCATION AND EXPERIENCE:
- Pursuing at least an Associate’s degree in Accounting, Finance, Business, or a related field preferred
PHYSICAL CAPABILITIES AND REQUIREMENTS:
- Ability to sit or stand for extended periods, up to 8 hours per day, at a desk in front of a computer screen.
- Proficient use of a keyboard, mouse, and monitor, as well as the ability to type, scroll, and click efficiently.
- Occasional light lifting and carrying of objects up to 20 pounds, such as office supplies or small equipment.
- Ability to move within an office, including occasional walking, bending, reaching, and climbing short flights of stairs.
- Clear communication, both verbal and written, including phone conversations, virtual meetings, and face-to-face.
- Adequate vision to read documents, use computer screens, and navigate office space.
- Ability to work in an environment with moderate noise, such as printers, telephones, and office conversations.
