Primary Purpose:
Under general supervision, performs administrative duties relating to human resource position management utilizing the Human Resource Information Systems (HRIS)-EFinance. The position is also responsible for the accurate interpretation and application of Texas and Federal guidelines regarding instructional certification and placement. Assist with background checks.
Education/Certification:
High school diploma or GED

- Effective organizational, communication, and interpersonal skills.
- Ability to use personal computer and software to develop spreadsheets, databases, and word documents.

- Exercise sound and independent judgment (particularly with certification and position management).
- Bilingual preferred
Experience:
3-5 years’ experience in a fast-paced office setting, preferred experience in human resources information systems (HRIS)
Essential Job Functions:
Position Management
- Maintain the HRIS position management system to differentiate personnel data entry from payroll data entry.
- Input and maintain in the HRIS system detailed staffing assignment codes, budget codes, campus codes, for designated employee group. Input data that relates to employee pay grades, daily and annual salaries.
- Track and process all current position assignments and pay grades to ensure accuracy of associated pay rates for paraprofessional and auxiliary hires.
- Monitor campus/department staffing request, ensure documentation for vacant or new positions are allocated on the HRIS system before processing.
- Process paraprofessional classified hires through the Talent Ed, and EFinance Systems verifying certification and TEA for designated non-exempt employee groups.
- Submit information required for payroll processing once data input in EFinance is complete.
- Assist lead position management specialist with the processing of teacher new hires.
- Coordinate new hire sessions for paraprofessionals and collaboratively work with the lead position management specialist in scheduling teachers.
- Collaboratively schedule and actively participate in professional employee new hire sessions.
- Responsible for preparation, setup and completion of employee files upon hire, for designated employee groups.
- Enter new hire demographic information; updated employee information; and process separations in EFinance for your designated employee group (Elementary teachers, paraprofessionals, auxiliary, and temporary employees).
- Research, compile and analyze data for special human projects and reports.
Certification
- Assess and verify paraprofessional certificated applicants’ eligibility and placement with SBEC;
- Keep updated on state certification processes, policies, procedures, and related legal requirements.
- Maintain certification records and serve as a resource to administration and staff on issues relating to paraprofessional certification.
Background Verification
- Upload applicants’ to SBEC for FASTPass fingerprinting or SBEC clearance for fingerprinting.
- Email FASTPass to applicants and direct on scheduling process.
Other Duties and Responsibilities
- Answer incoming calls, take reliable messages, and route to appropriate staff as needed.
- Answer questions from employees and the general public relating to human resources.
- Provide clerical support to the human resources department in specified areas as needed.
- Maintain professional interactions with staff, parents, community and visitors.
- Demonstrate flexibility to change in routine and adapt quickly to changing situations.
- Demonstrates respect, courteous to peers and visitors and assist fellow workers willingly.
- Report to work in a timely manner according to assigned schedule.
- Perform other duties as assigned by the supervisor or other administrator that are consistent with the general requirements and qualifications for the position.
- Responsible for district employee badge machine, printing employee badges, and distribution for special assignments.
- Provide clerical support to the human resources department in specified areas and special projects as needed.
- Assist with the preparation and coordination of job fairs, employee awards, and community events.
