Job Description

The Role

The Sales & Move-In Coordinator is responsible for supporting the full prospect-to-resident journey—from initial inquiry through successful move-in—while enabling the Sales team to achieve occupancy goals across Independent Living, Assisted Living, and Memory Care.

This role combines lead management, administrative coordination, and move-in execution, ensuring a seamless, high-touch experience for prospective residents and their families. The Coordinator plays a critical role in maintaining CRM integrity, supporting sales conversion, and ensuring apartments and residents are fully prepared for move-in.

The ideal candidate is highly organized, detail-oriented, and service-driven, with the ability to manage multiple priorities while delivering exceptional customer experience.

Essential Duties & Responsibilities

Sales Support & Lead Management

  • Serve as the first point of contact for all inbound inquiries (phone, web, walk-ins).
  • Enter and maintain all prospect data in the CRM system with accuracy and timeliness.
  • Coordinate lead distribution and ensure prompt follow-up by Sales Counselors.
  • Schedule appointments, confirm tours, and manage ongoing communication with prospects.
  • Maintain accurate reporting on lead activity, pipeline status, and conversion tracking.
  • Support Sales Counselors with administrative preparation for tours and presentations.

Move-In Coordination & Resident Transition

  • Coordinate all aspects of the move-in process from deposit through resident arrival.
  • Serve as the primary liaison between Sales, Operations, Facilities, and external partners.
  • Ensure all apartments meet established move-in readiness standards prior to resident arrival.
  • Coordinate with moving vendors and partners to manage logistics and timelines.
  • Ensure all required documentation, contracts, and financial qualifications are completed accurately and on time.
  • Welcome new residents and coordinate a seamless and positive move-in experience.
  • Support orientation processes and ensure cross-departmental alignment for each move-in.

CRM and Data Management

  • Maintain CRM accuracy, including lead entry, activity tracking, and documentation.
  • Generate and manage reports related to leads, pipeline, and occupancy.
  • Ensure proper tracking of marketing attribution and sales activities.
  • Support ongoing database management, including prospect files and communication records.

Events and Marketing Coordination

  • Support planning and execution of events designed to generate leads and move prospects through the sales pipeline.
  • Manage event logistics, RSVP tracking, and post-event follow-up.
  • Coordinate fulfillment of marketing collateral and materials for prospects and events.
  • Ensure the sales office is prepared with all necessary materials and supplies.

Administrative & Operational Support

  • Process deposits, cancellations, and financial transactions accurately and in a timely manner.
  • Maintain inventory tracking of available units in coordination with Sales leadership.
  • Support accounts payable and administrative coordination related to marketing and sales activities.
  • Answer phones and manage front office responsibilities with professionalism and responsiveness.
  • Ensure organization and efficiency across all sales support functions.
  • Performs other duties as assigned. 

Success Metrics

  • Timeliness and accuracy of lead entry and CRM management.
  • Speed and consistency of lead follow-up coordination.
  • Reduction in time from deposit to move-in.
  • Smooth, error-free execution of move-ins.
  • Positive feedback from new residents and families regarding the move-in experience.
  • Accuracy and completeness of reporting and documentation.
  • Overall support of occupancy and sales conversion goals.

Position Qualifications and Requirements

  • 3–5 years of experience in administrative coordination, sales support, hospitality, or project management.
  • Experience in senior living, real estate, or customer-facing environments preferred.
  • Bachelor’s degree or equivalent preferred.
  • Strong organizational and time management skills with high attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent interpersonal and communication skills.
  • Proficiency with CRM systems and Microsoft Office tools.
  • Customer service mindset with a strong hospitality orientation.
  • Must be available to work rotating weekends.

Compensation & Benefits:

Enso Village is committed to equal pay and transparency. The base hourly pay range for this position is $36.06–$40.87 with additional commission earnings potential based on sales results. Compensation is based on experience, education, skills, and business considerations.
