Job Status: 10-month contract OR 12-month contract

Reports To: Director of Undergraduate Admission

Grade/Level:   

Amount of Travel Required: No Travel

Work Schedule: 8 am to 5 pm  

Positions Supervised: Office of Admission Student Ambassadors (approximately 45-60 students)

Occasional weekend hours  


POSITION SUMMARY

The Recruitment Hospitality Coordinator provides leadership and strategic oversight for recruitment hospitality and admissions office operations. The position is responsible for developing, implementing, and evaluating recruitment hospitality strategies that directly support enrollment goals and institutional priorities. The role exercises independent judgment on matters of significance, manages student ambassador programs, oversees recruitment hospitality resources and budgets, and serves as a key operational partner to Admissions leadership. The Recruitment Hospitality Coordinator effectively manages urgent or unexpected situations, while maintaining composure, sound judgement, and confidence in decision making. 


  ESSENTIAL FUNCTIONS

  • Serve as the primary administrative point of contact in the Office of Admission: greeting visitors, answering phone calls/emails, guiding prospective students and families, coordinating appointments.
  • Interviews, hires, supervises, and trains administrative support staff, including student employees, Student Ambassadors, or work-study assistants. 
  • Coordinate logistical aspects of admissions events (e.g., open houses, campus tours, receptions), including set up, registration materials, check-in, follow-up communications.
  • Ensure that office operations reflect the college’s Benedictine values and contribute to a welcoming, inclusive environment for prospective students and families.
  • Primary decision-maker for prospective students utilizing the Flight Reimbursement program, including approvals, denials, receipting, and documentation submission to the Business Office procurement portal. 
  • Maintain office inventory levels and ensure timely ordering of supplies and materials from vendors to support office and recruitment operations.
  • Thinks strategically and creatively, helping to improve visit processes, while stocking and maintaining hospitality stations for guests, including coffee, refreshments, and materials for visiting students and families.
  • Process and maintain Accounts Payable (AP) invoicing for the Office of Admission vendors, ensuring accurate coding, approvals, and timely submission to the Business Office procurement system.
  • Collaborate with Campus Visit Coordinator and Recruitment Events Coordinator daily.
  • Liaison with campus support offices (IT/Maintenance/Housekeeping).
  • Perform other related duties as assigned by the Director of Admission.

Requirements

  

Primary Duties:

  • Develop and oversee the recruitment hospitality strategy aligned with enrollment objectives and institutional priorities.
  • Exercise independent judgment in determining hospitality approaches, guest experiences, and service standards for prospective students and families.
  • Evaluate the effectiveness of recruitment hospitality programs and recommend improvements to Admissions leadership.
  • Establish operational priorities and workflows for recruitment hospitality and office operations

Budget and Resource Authority:

  • Manage and monitor recruitment hospitality budgets; recommend allocations and exercise discretion within approved parameters.
  • Select and manage vendors related to recruitment hospitality and events within established guidelines.

Supervisory Authority:

  • Directly supervise and manage a team of student ambassadors, including scheduling, performance oversight, training standards, and corrective action recommendations.
  • Make or meaningfully influence recommendations regarding hiring, discipline, and termination of student employees.
  • Establish expectations and performance standards for student ambassador roles.


Education Consideration:

  • Bachelor’s degree required in a related field; advanced education or specialized training preferred.
