Position Overview
RIVA Solutions is seeking a highly organized and proactive Administrative Support Specialist III to provide comprehensive administrative and clerical support to leadership and program staff at the William J. Hughes Technical Center. This position requires a detail-oriented professional who can manage a wide range of office responsibilities, maintain accurate records, coordinate schedules, and communicate effectively with internal and external stakeholders.
The ideal candidate will demonstrate excellent organizational and communication skills, work well independently, and show initiative in supporting daily office operations.

Core Responsibilities
  • Maintain supervisor’s calendar, schedule appointments, and coordinate meeting logistics including room reservations.
  • Anticipate and prepare necessary materials for meetings, conferences, and presentations.
  • Maintain and update internal office records, including time and attendance reports, leave records, office equipment inventories, correspondence logs, and training plans.
  • Prepare and submit procurement requests in accordance with organizational procedures.
  • Enter and track travel authorizations and other administrative documentation.
  • Provide meeting support, including preparation of materials, note-taking, and documentation of meeting minutes.
  • Review, interpret, and distribute relevant publications, regulations, and directives to ensure organizational awareness and compliance.
  • Support ongoing process improvements and recommend changes to office procedures to improve efficiency.

Minimum Qualifications
  • Bachelor’s degree in a business-related field.
  • OR Associate degree in a business field or related discipline and at least 3 years of relevant experience.
  • OR High School Diploma or GED and at least 6 years of relevant experience.
  • Must have demonstrated experience using Microsoft Office Suite, including proficiency in Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills with strong attention to detail.
  • Proven ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.

Preferred Qualifications
  • Prior federal government experience is highly desirable.

Compensation
SCA Rate: $25.20/hr + $5.09 Health & Welfare
