We are seeking an Administrative Specialist I to join our team in Washington, DC. This role is essential in supporting office operations, ensuring compliance, and maintaining efficient administrative processes within a fast-paced government environment.
Key responsibilities include:
- Providing comprehensive administrative, program, and office operations support
- Performing administrative management functions for office, project, and program operations
- Reviewing and applying administrative policies and procedures
- Developing and maintaining administrative systems and processes
- Composing and routing correspondence, tracking actions to completion
- Greeting visitors and managing incoming calls
- Reviewing outgoing correspondence for compliance
- Assembling information for reports and responses
- Ensuring documents are accurate, properly formatted, complete, and submitted on time
- Preparing and overseeing meeting minutes, presentations, reports, and project documentation filing
- Utilizing Microsoft Word, Excel, PowerPoint, and Access to create charts, spreadsheets, presentations, and reports
- Collecting, tracking, and analyzing administrative and program data
- Coordinating with staff and management to support workflow and work distribution
- Supporting procurement activities, including purchase requests, PO review, and supply/property tracking
- Assisting with property management and inventory tracking/reporting
- Supporting compliance with financial and procurement procedures
- Providing timely status updates and performing other duties as assigned
