Job Description

RESPONSIBILITIES:

 

Essential Functions –

  • Assist program faculty with preparation of instructional materials.
  • Provide clerical support to faculty, staff, and the coordinator of the Health Care Training courses with the day-to-day Health Care Training operations.
  • Receive and transmit communication accurately and promptly. Maintain a high standard of customer service and confidentiality at all times.
  • Provide a friendly customer service oriented atmosphere. Maintaining a professional appearance at all times.
  • Attend departmental/program meetings as assigned, recording minutes as required; notify appropriate persons of meetings, distribute agendas, prepare and distribute minutes.
  • Communicate information to prospective and current students regarding Health Care Training courses.
  • Process purchase orders for payment of invoices and communicate budget line item totals.
  • Coordinate schedules and assist with supervision of work study student; delegate responsibilities as appropriate.
  • Arrive on time for work, attend work regularly, and successfully perform the responsibilities of the position.
  • Comply with HutchCC policies, procedures, and practices.
  • Plan and fulfill meeting/event needs and travel arrangements.

 

Health Care Training Essentials -
 

  • Perform various enrollment clerk functions including the receipt and input of applications and receiving and processing enrollment paperwork and payments.
  • Assist with the course evaluation process, starting classes, enrollment/registration, student appreciation, and other events.
  • Maintain knowledge of current Health Care Training course offerings and ongoing courses in order to answer phone and walk-in inquiries.
  • Perform various clerk functions for Nursing Continuing Education Providership and programs, including, but not limited to: Typing certificates, keeping statistical reports, and preparing sign-in sheets.

Secondary –

 

  • Perform other responsibilities as assigned by the Coordinator of Health Care Training.

 

QUALIFICATIONS (Essential):

 

  • High school diploma or equivalent required; AAS Degree in Office Technologies preferred.
  • General clerical keyboarding skills required, with a preference in MS Office experience: Word, Excel, Access and PowerPoint.
  • Ability to establish and maintain effective work relationships.
  • Ability to work independently and efficiently, with attention to details; Accurately follow written and verbal instructions while maintaining professionalism.
  • Physical requirements: Excellent verbal, written and listening skills; exhibit manual dexterity to dial a telephone, enter data into a computer, and to operate additional office equipment; see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal levels and on the telephone; speak in audible tones so that others may understand clearly in person and on the telephone; use appropriate judgment and to apply tact and courtesy in difficult situations; attentive to detail, accurately follow written and verbal instructions, work independently;  understand words and respond effectively and appropriately; Medium/Indoor work environment with a substantial amount of keyboarding required; transport supplies to sites of classes; ability to lift 50 pounds.

HOURLY WAGE and STATUS:

 

The hourly rate of pay is commensurate with qualifications as determined by HutchCC administration.  This full-time support staff position is 12 months annual, benefit eligible, at-will, and nonexempt.
