    Job Title:  Middle School Clerk

    Payment Rate:  In accordance with the USD 443 Salary Schedule

    Reports To: Principal/Head Secretary

     

    PURPOSE: The Middle School Clerk is responsible for performing a variety of clerical tasks under the direction of the Head Secretary and School Principal.  

     

    EMPLOYMENT QUALIFICATIONS:

    Education:
     

    • High School Diploma or equivalent.
    • Associate's degree or equivalent.

       

    Experience:

     

    • 1 year of clerical experience is strongly preferred. 
    • Broad range of advanced executive secretary, clerical, accounting, or technical skills. Bilingual skills preferred but not required.
    • Experience with a variety of databases and computer software applications such as using advanced word processing or desktop publishing programs, producing query reports, using spreadsheets, etc.

    KNOWLEDGE, SKILLS, & ABILITIES:

    • The ability to effectively present information and respond to questions from administrators, staff, students, parents, and the public. 
    • Ability to calculate figures and amounts such as percentages; ability to add, subtract, multiply and divide.
    • Ability to solve practical problems.
    • Advanced knowledge of accounting software; database software; Microsoft Office Suite and Google Suite. 
    • Problem solving and organizational skills. 
    • Ability to attend to details.
    • Ability to maintain confidentiality. 
    • Excellent computer skills, strong communication skills both verbal and written.
    • Be able to evaluate and interpret data and compile written reports in narrative and statistical form.

    DUTIES & RESPONSIBILITIES: 

    • Assist with answering phones and checking visitors in/out. 
    • Assist with facilitating daily substitute teachers and para coverages as needed.  
    • Assist with staff timekeeping and enter in missed punches.
    • Assist with building key inventory and checkout.
    • Translate spoken and written information.  
    • Facilitate student laptop operations and work orders.
    • Facilitate student laptop setup and password recovery as needed. 
    • Organize and maintain an efficient filing system for department materials and documents.
    • Cross train with other personnel for additional coverage and assistance when needed.
    • Assist with social media updates on behalf of the district.
    • Assist with student tardiness and enter information in Skyward.
    • Oversee all student additions/drops/transfers in Skyward.
    • Send & request student Transfer/Drop Records.
    • Oversee and maintain student cumulative folders.
    • Run attendance reports and correspond with parents as needed. 
    • Assist with generating truancy letters and necessary court paperwork as needed. 
    • Use effective written and oral communication skills to convey essential information to students, staff, administrators, parents, and a variety of other community patrons.
    • Analyze problems and develop suggestions for solutions.
    • Performs other duties as assigned. 

       

    PHYSICAL REQUIREMENTS & WORK ENVIRONMENT: 

     

    • While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk and hear. 
    • The employee is occasionally required to stand; walk and reach with hands and arms. 
    • The employee must regularly lift and /or move up to 50 pounds.  
    • Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus.
