    Maintenance Administrative Assistant
    Conway Public School District 
     
     

    Qualifications: 

    1. High school or general education diploma
    2. Technology and interpersonal skills
    3. Experience in eSchool/eFinance
    4. Bookkeeping skills
    5. Ability to lift fifty (50) pounds
    6. Ability to do routine walking, standing, bending, and carrying heavy items


    Reports to:
    Maintenance supervisor

    Terms of Employment:
    The contract length will be 240 days.
     
    Evaluation:
    Based on local district policy and Arkansas Department of Education guidelines, and performed by the maintenance supervisor.
     
    Job Goal:
    The Maintenance Administrative Assistant will endeavor to assist in providing a smoothly operating, efficient, and safe maintenance department.  
     
    Performance Responsibilities:

    1. Follows and maintains knowledge of all District policies and procedures.
    2. Payroll:
      1. Prepares all timesheets and spreadsheets for central maintenance, custodians, student workers, and non-contract workers.
      2. Maintains an efficient correspondence system between employees and the maintenance department regarding leaves of absence, etc.
      3. Reports absences for employees to the maintenance supervisor
      4. Coordinates all leaves of absence entries and changes.
      5. Performs other projects and prepares reports needed by the maintenance supervisor and the payroll department.
    3. Purchasing:
      1. Creates requisitions for purchases made for maintenance operations.
      2. Prepares invoices for accounts payable.
      3. Creates and maintains spreadsheets of bid documents for maintenance projects.
      4. Files all documents for purchases and bids.
      5. Performs other projects and prepares reports needed by the maintenance supervisor and financial director.
    4. Custodial:
      1. Communicates any concerns presented by employees or others to the maintenance supervisor.
      2. Maintains all District and maintenance forms and memorandums concerning custodial responsibilities.
    5. Service Contracts:
      1. Maintains service contracts and reports trouble calls, making sure guidelines for terms of all contracts such as dust mop/mat services, elevator services, fire alarm services, pests services, trash services,etc.
    6. Maintenance Requirements:
      1. Maintains Environmental Protection Agency requirements for Material Safety Data Sheets.
      2. Coordinates yearly Environmental Protection Agency-required training workshops for asbestos, Right-to-Know, and Material Safety Data Sheet awareness for all maintenance employees.
    7. General Duties and Responsibilities:
      1. Takes phone calls and addresses each call in the proper manner.
      2. Is prepared to respond in any emergency situation.
      3. Maintains an efficient filing system, including all correspondence.
      4. Maintains confidentiality of all records and allows access to authorized personnel.
      5. Coordinates custodians' summer vacations.
      6. Processes and coordinates summer worker program with supervisors.
      7. Prepares business letters for the maintenance supervisor.
      8. Corresponds with vendors and sales representatives.
      9. Sorts incoming mail.
      10. Maintains fixed assets (equipment and vehicle), as needed, for the state auditor and the central office.
      11. Coordinates the interview schedule when supervisors are hiring employees.
      12. Possesses and utilizes keyboarding, bookkeeping, and technology skills; office machine skills; and eFinance skills.
      13. Assists supervisor in maintaining online information concerning government deals when selling assets.
    8. Other duties, as assigned.
