  • Monday through Thursday: 1:00 pm - 9:00 pm

  • Friday: 7:00 am - 3:00 pm


 


The School Clerical Specialist I provides clerical and administrative support to ensure the efficient daily operations of the school’s main office. This role serves as a key point of contact for students, families, and staff, supporting student services, attendance, records management, and general office functions. The position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced school environment.


 


Minimum Qualifications



  • High school diploma or equivalent

  • Minimum of one (1) year of clerical or administrative experience, preferably in a school or similar office setting

  • Additional education (college coursework) and customer service experience preferred, or an equivalent combination of education and experience


Key Responsibilities


 


Front Office & Administrative Support



  • Provide daily clerical and administrative support to the school’s main office.

  • Serve as a receptionist, greeting visitors and directing inquiries to appropriate staff.

  • Support administrators, counselors, and teachers with clerical tasks and office operations.

  • Schedule appointments, meetings, and conferences for students, parents, and staff.


Student Records & Data Management



  • Register new students, process withdrawals, and maintain student records and files.

  • Process transcripts, graduation data, and scholarship information.

  • Maintain accurate and confidential student records in accordance with established procedures.


Attendance & Student Services



  • Perform attendance tracking and student accounting functions.

  • Assist with scheduling student meetings with teachers and school counselors.

  • Support communication with families regarding attendance and student services.


Financial & Payroll Support



  • Receive and account for student activity funds in accordance with established procedures.

  • Assist with payroll-related processes and documentation as assigned.


Clerical & Office Operations



  • Prepare and process documents including forms, letters, reports, newsletters, vouchers, and other materials.

  • Maintain filing systems and ensure accurate recordkeeping.

  • Monitor and maintain office supply inventory.

  • Assist with substitute notification and coordination as needed.


Professional Responsibilities



  • Perform duties under the general supervision of the School Office Manager.

  • Maintain confidentiality of student and staff information.

  • Provide courteous and professional customer service to all stakeholders.

  • Perform additional duties as assigned to support school operations.

  • Knowledge of general office procedures and clerical practices

Working Conditions and Physical Requirements

The School Clerical Specialist I reports to the School Office Manager and performs duties in accordance with school and division policies and procedures.
