Job Description

General Summary

Responsible for coordinating training, scheduling, and documentation for the Facility Engineering team system-wide to ensure compliance with regulatory requirements and organizational standards. Partners closely with the Facility Engineering team and the Facility Asset Management team to ensure training programs align with asset needs, regulatory guidelines, and operational requirements. This position will also work within the Computerized Maintenance Management System (CMMS) and assist the Asset Management team in assuring that all system assets are represented within the inventory, and that the Engineering team has the appropriate training to service said equipment, sustain compliance and perform in a safe manner.

Essential Functions:

  • Tracks training completion and competencies to ensure staff qualifications align with the assets and operational requirements.
  • Partners with subject matter experts, vendors, and internal stakeholders to support training delivery and documentation.
  • Maintains accurate, up-to-date training and compliance records to support audits, inspections, and regulatory reviews.
  • Ensures documentation meets applicable regulatory, accreditation, and internal policy requirements.
  • Supports continuous readiness efforts by proactively identifying skillset deficiencies, documentation gaps and corrective actions.
  • Works closely with the Facility Asset Management team to ensure training records, certifications, and competencies are accurately reflected in the system.
  • Assists in aligning Facility Asset Management workflows and training modules with facility assets and engineering requirements.
  • Supports reporting and data integrity related to training and compliance metrics.
  • Manages training calendars, schedules, and communications to minimize operational disruption.
  • Prepares reports, dashboards, and summaries related to training compliance and completion status.
  • Serves as a point of contact for Facility Engineering training-related inquiries.
  • Collaborates closely with WellSpan Employee Health and Safety Development to assure that the staff is supported and fitted with all of the essential opportunities to maintain the highest levels of safety compliance.

Qualifications

Qualifications

Minimum Education:

  • High School Diploma or GED Required
  • Associates Degree Preferred

Work Experience:

  • 1 year Experience in training coordination, facilities support, compliance administration, or a related role. Preferred
  • 1 year Experience with familiarity with regulatory requirements related to facilities, safety, or engineering operations. Preferred
  • 1 year Experience in supporting Facility Engineering, Maintenance, or Technical Services teams and has a basic understanding of CMMS platforms, learning management systems, or similar tracking tools preferred. Preferred

Knowledge, Skills, and Abilities:

  • Highly organized, detail-oriented, and skilled at managing schedules, records, and compliance documentation in a fast-paced facilities environment.
  • Time management skills with the ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Knowledge in maintaining documentation for regulatory or compliance-driven environments.
  • Ability to prepare documentation for audits or inspections.
