Primary Purpose:
Coordinate the collection and reporting of district Public Education Information Management System (PEIMS) data.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
- Ability to maintain accurate and auditable records
- Ability to use personal computer and software to develop spreadsheets, databases, and do word processing
- Proficient keyboarding and file maintenance skills
- Ability to meet established deadlines
- Strong organizational, communication, and interpersonal skills
Experience:
- Two years experience in school district administrative support position requiring collecting and entering data; experience using coding systems; Three years secretarial experience, preferably in a public education environment.
Major Responsibilities and Duties:
Records and Reports
- Coordinate the collection, integration, and formatting of all data required for PEIMS submission according to PEIMS Data Standards.
- Work cooperatively with campus, business office, and central office staff to collect, organize, and format data required to submit district PEIMS data in a timely manner.
- Run edits, reports, and verification checks on data to ensure accuracy of information.
- Distribute edits and reports to principals and appropriate staff for analysis, verification, and correction.
- Submit complete and accurate PEIMS data in Texas Education Agency (TEA)-prescribed format to education service center (ESC) for processing using computer terminal or personal computer.
- Verify data submitted to TEA and submit corrections in a timely manner.
- Enter alphabetic, numeric, or symbolic data from source document using online computer terminal or personal computer.
- Key and verify results according to procedures provided.
- Recognize and correct errors in original data prior to processing.
- Print reports using database information including attendance reports, class or personnel rosters, end-of-semester reports, or accounting reports.
- Prepare correspondence, forms, reports, etc., for the department head and other department staff members using personal computer.
- Compile pertinent data as needed when preparing various state and local reports.
- Maintain physical and computerized departmental files.
- Maintain student records as needed.
Training and Technical Support
- Provide training and support to campuses and business and personnel office staff responsible for processing PEIMS data.
- Receive PEIMS-related information from ESC and TEA and disseminate to other staff in a timely manner, including updates to PEIMS Data Standards.
- Attend all regional PEIMS workshops and disseminate information to appropriate staff.

- Answer incoming calls, take reliable messages, and route to appropriate staff.
- Maintain a schedule of appointments and make travel arrangements for department and staff.
- Receive, sort, and distribute mail and other documents to department staff.
- Perform other duties as assigned by the supervisor or other administrator that are consistent with general requirements and qualifications for the position.
Supervisory Responsibilities:
- In directly supervise campus secretaries on PEIMS data.
