Cromwell Public Schools is looking for an Administrative Assistant II for the Student Services Department at Central Office. The Administrative Assistant II provides assistance in the effective operation of the Office of Student Services and related Central Administrative Office functions. To aid in supporting students, staff and families to ensure students' needs are being addressed through their IEP and 504 plans. To assist in the development of and monitor the student services budget as well as state and federal grant budgets, maintain records through online software; develop and maintain data and budget programming.
Terms of Employment: Starting rate: $28.59 per hour (2025-26 school year), Benefits as outlined in the UPSEU contract, 5 personal days per year, paid holidays, 2 floating holidays, 15 sick days per year, life insurance, and eligible to participate in the Town of Cromwell Pension.
Hours: 7:30 AM to 3:30 PM (7.5 hours per day with a 30 minute lunch break (37.5 hours per week), 12 month position (work 6 hours per day during school breaks and summer).
Reports to: Director of Student Services and the Supervisor of Student Services
Responsibilities:
1. Knowledge of and ability to utilize programs for maintaining all records, including IEP software, PowerSchool and PSIS.
2. Plan and organize work according to office procedures; prioritize work.
3. Ability to use different software system applications (i.e. MSOffice applications, Google drive and docs, Zoom, outlook calendar).
4. Prepare and process contracts and agreements for all out-placed students and tuition payments.
5. Assist in the preparation and submission of all data, forms, and reports pertaining to special education and 504 students.
6. Research and maintain confidential records and files.
7. Process written and oral instructions effectively.
8. Maintain records and invoices of special education expenditures.
9. Assist with management and creation of student services budget.
10. Create encumbrances and purchase orders for the department.
11. Assist with upload for SBAC accommodations through the TIDE system.
12. Order supplies, test materials and other products for schools, staff and students.
13. Maintain software subscriptions to ensure they are up to date and coordinate software information with appropriate staff.
14. Create and maintain all records for state and federal programs, grants and reports.
15. Input and monitor data for excess cost, SEDAC, B-3 and evaluation reports.
16. Assist with data collection for Choice student reimbursement.
17. Prepare documents related to legal proceedings.
18. Provide support in collecting data, as requested.
19. Maintain a high level of confidentiality in and out of the office.
20. Coordinate and communicate bus transportation for student services, for in and out of District students, including displaced families and ESY.
21. Schedule and prepare PPT invites, including Magnet and Out of District placements.
22. Assist with IEP and 504 compliance.
23. Complete and maintain Medicaid records.
24. On-going communication with families, agencies, contractors and surrounding schools to address student needs.
25. Monitoring the meeting calendar for Director and Supervisor of Student Services
26. Working closely with the special education and related services staff to ensure the needs of their caseload are being addressed.
27. Perform other duties as assigned.
