Financial systems etc.) and day to day clinic operations as directed by the University
Health Business Operations Manager. Performs a variety of detail-oriented tasks
needing complete accuracy to maximize clinic revenue cycle management.
Functions with considerable independence and exercise discretion in applying
policies and procedures working with patients, vendors, and insurance companies. This position is considered full-time and will have a regular work schedule of 32 hours per week.
Record System Management: Maintains patient electronic medical records
and ensures that information is complete and accurate (20%).
●Patient Management:Creates new patient accounts including patient demographics and insurance and/or payor information. Processes and monitors insurance authorizations and coordinates with outside Physicians as necessary to obtain medical documentation and prescriptions for care.Contacts insurance to verify benefits and eligibility and discusses payment and billing options with patients.
●Scheduling:Maintains clinic schedule for all patients and clinical providers (i.e.PA, MD, DO, Nutritionist).
●Billing:Reviews charges and researches denied claims. Prints and posts patient payments.Creates monthly billing statements and resolves billing issues as necessary with patients.
Revenue Cycle
Management: Responsible for collecting and depositing
patient and insurance payments with complete accuracy. (30%)
●Balances daily gross and net collections.
●Compares checks/cash collected daily.
●Prepares and validates deposit.
●Manages patient accounts to ensure that revenue is collected in a timely manner.
●Negotiates payment plans as necessary.
Clinic Operations: Responsible for daily clinic operations
including (30%):
●Patient check-in.
●Answers phone calls and addresses routine questions regarding appointments, insurance billing, payments and collections.
●Receives faxes and routes as necessary.
●Faxes medical documentation as necessary to local physicians and insurance companies upon request.
●Maintains old patient files and processes requests for patient information.
●Complies with HIPAA regulations including interpreting, explaining, and applying laws, regulations, and complex policies.
●Manages clinic mail.
●Ensures that clinic licenses are up to date and submits to Clinic Operations Director for credentialing.
●Manages relationships with patients, outside health care providers, insurance companies, vendors and purchasing processes.
Insurance/ Medicaid
Compliance: (10%)
●Coordinates with clinicians ensures documentation is returned within insurance and Medicaid guidelines.Works with clinicians to make sure documentation is complete in a timely manner.
Clinics Director of
Operations Support (10%)
●Assists the University Health Center Business Operations Manager in special projects as needed to support clinic operations.
●Creates Purchase Orders and requisitions, ensures funding is assigned.
●Submits and tracks invoices.
Minimum Qualifications Experience: Some
●Monitoring record systems to identify and correct errors.
●Interpreting, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs.
●Analyzing information and researching a variety of sources to identify and resolve problems or issues.
●Dealing with individuals from varying cultural and socio-economic backgrounds in stressful situations.
●Entering and retrieving data using a computerized record system.
●Composing and proofreading business correspondence.
Specialty Requirements

Experience:
●Storing, retrieving and compiling information in a report format using database software.
●Reviewing/assessing health care claims.
●Reviewing/assessing dental claims.
●Working with sensitive or restricted data.
Some knowledge of:
●Data management.
●Financial record keeping.
●Mental health and substance use disorders programs and terminology.
Good knowledge of:
●University academic and/or vocational program requirements and experience applying university policies and procedures to determine graduation requirements.
Additional Information
