Job Description
Common and Baseline Responsibilities
  • Coordinates with landlord and building for maintenance, loading dock use, and security clearance (badges, passes, locker keys).
  • Oversees office coordination, which may include new hire logistics coordination, client and visitor studio access, and office equipment repairs or maintenance. including researching and recommending alternative solutions.
  • Manages front desk and/or administrative staff.
  • Orders office supplies and researches/recommends alternative solutions as needed.  
  • Oversees deliveries and incoming and outgoing packages/mail.
  • Coordinates, supports, and elevates workplace experience.
  • Works closely with the leadership team and talent managers to develop strategic programs to drive engagement and to deepen our connection to our mission, our work, and our people
  • Organizes vendor lunches or presentations and manages contracts with vendors, such as caterers, product suppliers, delivery services, etc. as well as tracks and maintains office expenditures.
  • Develops safety strategies in case of emergency and coordinates between office staff and building management.
  • Reports any security problems as needed and ensures that health and safety policies are up to date.
  • Coordinates office cleanups and moves with office services, organizes off-site dead-filing and storage coordination.
  • Organizes and coordinates special events as needed (e.g., employees’ outdoors events, holiday parties and celebrations).
  • Provides support to local talent management team as needed.
  • Reports to Director of Operations, Talent Manager or assigned Principals.
