Job Summary:
The Associate Project Manager (PMO) plays a critical role in enabling the successful delivery of consulting projects across multiple industries and project types—including ERP implementation, process automation, business intelligence, data strategy, and operational improvement engagements. This role functions as a centralized professional PMO resource, supporting project leaders and engagement teams by driving day-to-day execution, maintaining operational rigor, and ensuring momentum across a busy project portfolio, typically spanning 10–20 active engagements simultaneously.

The Associate Project Manager is responsible for keeping projects organized, visible, and moving forward—tracking progress against plans, developing client-facing deliverables, identifying risks, coordinating communication, and serving as a connective tissue between project teams, leadership, and clients. In addition to core project management activities, this role is expected to continuously improve how the consulting department operates by leveraging tools, technology, and process improvements to enhance efficiency, transparency, and delivery quality.

Key Responsibilities:

Project Execution & Portfolio Management

  • Support multiple concurrent consulting projects across various industries and delivery models (advisory, technology, operational improvement, implementation, and assessment projects).
  • Develop, maintain, and actively manage project plans, timelines, milestones, dependencies, and deliverables in partnership with project leads.
  • Track project progress against scope, schedule, and budget, identifying variances and escalating risks or issues as needed.
  • Own and maintain project effort/schedule burndown reports, capacity tracking, and workload visibility across the portfolio.
  • Proactively follow up on action items, deadlines, and deliverables to ensure projects continue moving forward.
  • Assist project leads with scope change tracking, effort management, and documentation of assumptions and constraints.

Client & Stakeholder Communication

  • Draft and develop client-facing deliverables and communications, including status updates, current-state assessments, meeting summaries, recommendations documents, and action-item tracking.
  • Serve as a reliable point of coordination for client interactions, ensuring timely responses and professional communication.
  • Prepare recurring project status reports highlighting accomplishments, upcoming work, risks, issues, and decisions needed.
  • Support project leads in maintaining strong client relationships through consistent, clear, and proactive communication.

Meeting Facilitation & Coordination

  • Plan, schedule, and facilitate recurring project meetings, including weekly client check-ins, internal team syncs, and leadership reviews.
  • Create structured agendas, capture detailed meeting notes, track decisions, and manage action items to closure.
  • Ensure meetings are productive, time-efficient, and outcomes-oriented.
  • Coordinate across time zones to ensure effective collaboration between India-based resources and global project teams.

PMO Standards, Tools & Process Improvement

  • Apply and reinforce consistent project management methodologies, templates, and best practices across engagements.
  • Identify opportunities to improve project delivery, reporting, and collaboration through better processes or technology solutions.
  • Design, build, implement, and maintain dashboards, trackers, and reporting tools using Power BI, Excel, or similar platforms to provide portfolio visibility and executive-level project insights.
  • Leverage project management and collaboration tools (e.g., MS Planner, Azure DevOps, SharePoint, Teams, Excel, Power BI, or similar) to streamline execution and reporting.
  • Contribute to the continuous evolution of the department’s PMO capabilities, tools, and operating model.

Risk, Issue & Dependency Management

  • Identify project risks, issues, and dependencies and work with project leads to develop mitigation strategies.
  • Track risks and issues through resolution, ensuring transparency and accountability.
  • Escalate concerns early and constructively to avoid downstream impacts to timelines, budgets, or client satisfaction.

Financial & Administrative Support

  • Assist with tracking project budgets, financial burn rates, and utilization in coordination with project leads.
  • Support preparation of internal financial tracking reports and leadership summaries.
  • Maintain accurate and organized project documentation, including plans, schedules, change logs, and status artifacts.

Culture, Collaboration & Team Enablement

  • Act as a positive, motivating force that helps teams stay aligned, engaged, and focused on delivery.
  • Foster accountability while maintaining a collaborative and supportive working style.
  • Support onboarding of new team members by providing project context, documentation, and process guidance.
  • Model professionalism, reliability, and a service-oriented mindset in all interactions.

Required Skills:

  • Strong organizational, planning, and multitasking skills with the ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills, including demonstrated ability to create polished, professional client-facing communications and deliverables with minimal oversight.
  • Experience supporting consulting, advisory, or professional services projects, with a high attention to detail, strong follow-through, and accountability
  • Ability to work effectively with cross-functional, geographically distributed teams.
  • Exposure to agile, hybrid, or traditional project management methodologies.
  • Proficiency with project management and collaboration tools (e.g., MS Planner, Azure DevOps, SharePoint, Teams).
  • Comfortable working in a fast-paced consulting environment with shifting priorities.

Preferred Skills:

  • Familiarity with digital transformation domains (ERP, process automation, BI reporting, data strategy) is a strong plus.
  • Working knowledge of project financials, budgeting, burn rates, and utilization tracking.
  • Experience building dashboards and analytical reports using Power BI, Excel, or similar tools.
  • PMP, CAPM, Scrum, or other project management certifications are a plus.
