Position: Maintenance Invoicing QC Specialist

The Property Management Team at Kairos Living, a rapidly growing national single-family rental fund (SFR), is seeking a highly motivated, positive individual with excellent organizational and communication skills who can contribute to the success of the team. The position will have frequent interaction with vendors, residents, and multiple departments at the firm.

This role serves as the primary quality-control checkpoint for maintenance work performed by Kairos Living’s third-party vendors. The Maintenance invoicing QC specialist is responsible for reviewing completed work orders, verifying scope and pricing, and processing vendor invoices to ensure the firm pays only for work that meets Kairos Living’s quality and contractual standards. To do this effectively, the role partners closely with Vendor Management, Accounts Payable, Maintenance, and Property Management teams. The role also owns the resident chargeback process end to end — initial review, communication, and response to disputes.

The successful candidate will have a solid grasp of the property management lifecycle and a sharp eye for detail. They will have excellent organizational skills, the ability to manage multiple multi-faceted tasks in order to meet deadlines and performance objectives, and the temperament to maintain a positive, professional posture in high-pressure conversations with Residents and vendors. The candidate must possess strong problem-solving and writing skills.


 Responsibilities

Review and audit completed maintenance work performed by third-party vendors against approved scopes, contracted pricing, and Kairos Living quality standards.

Process and review vendor invoices; approve, return, or escalate as appropriate based on documentation and verified work performance.

Process and review Resident Chargebacks; coordinate with Property Management on Resident communication.

Respond to and resolve Resident disputes related to chargebacks in a timely, professional, and well-documented manner.

Review property history for warranty coverage, prior work, and duplicate billing issues prior to invoice approval.

Partner cross-functionally with the Maintenance, Vendor Management, Accounts Payable, and Property Management teams to ensure consistent communication, on-time resolution, and alignment on policy.

Identify and escalate recurring quality, pricing, or documentation issues observed across vendors or properties to support continuous improvement of the maintenance program.

Maintain accurate records of QC findings, chargeback decisions, and dispute resolutions for audit and reporting purposes.

Provide a high level of customer service to Residents in our occupied homes throughout the chargeback and dispute process.


Desired Experience / Skills 

Minimum 3 years of relevant property management experience in the residential real estate industry. Single Family Rental experience a plus but not required.

Prior experience with maintenance QC, invoice review, accounts payable, or resident chargeback processes is strongly preferred.

Detail-oriented, with the ability to multitask and prioritize effectively across competing deadlines.

Proficiency in Microsoft Excel is a plus.

Experience with Yardi Voyager is preferred but not required.

Experience using AI tools — particularly Claude — to support work review, communication drafting, and documentation is a plus, but not required.

Self-starter who is willing to “do what it takes” to hit goals and meet deadlines.

Outstanding communication skills, both verbal and written, with the ability to comfortably interact with an array of personalities and develop broad relationships among vendors, Residents, and internal teams.

Ability to prioritize, plan, organize, and coordinate work assignments, and simultaneously coordinate multiple tasks.

Ability to apply common sense, demonstrate logical and systematic thinking, and adapt to change while taking ownership.
