SALARY: Starting at $47,380
SUMMARY: This position coordinates and supports the administrative and value adjustment board process for ad-valorem appraisal purposes. Must be self-motivated, highly organized, and able to manage deadlines and prioritize tasks effectively.
DUTIES AND RESPONSIBILITIES: The duties of the Coordinator, Residential Valuations include, but are not limited to the following:
- Assist with the quality control process.
- Assist with projects as needed with permits, supporting residential teams, managers, and directors. Projects include, but are not limited to, damage assessment assistance with contacts, resources, and other administrative support, including phone coverage, real estate research, and documentation.
- Assists with phone coverage, coordination, scheduling, and constituent service walk-ins during the TRIM season.
- Manages and coordinates the residential booking calendar. Redirect appointments to other departments or assign to an appraiser.
- Print or update the Residential manual for the new employee.
- Coordinates supply requests with the facilities. Verifies with management and staff whether any office supplies are needed, and places orders for them. Order uniforms and assist in distribution to Residential Field Appraisers.
- The VAB Residential Coordinator is the liaison with the Legal Department concerning scheduling for VAB hearings. Prepare, print, and mail all residential evidence letters. Verify evidence has been created by the analyst and properly prepared, filed, updated, and released in the Axia Appeal System. Maintains tracking information on petitions for Granted, Denied, Remanded, or Withdrawn in CAT.
- Ensures VAB petitions that require legal representation are properly identified and coordinates communication with the appropriate personnel. Addresses questions, issues, and concerns related to Value Adjustment Board proceedings in collaboration with VAB staff, OCPA staff, management, the Director, and in alignment with established policies.
- Support all residential administration activities as assigned, including assisting other divisions and departments as needed.
- Meet all attendance and punctuality requirements by reporting for work consistently and on time in accordance with the organization's policy.

SUPERVISORY RESPONSIBILITIES: This job has no supervisory responsibilities.
QUALIFICATIONS:
- Years of experience: Must have two (2) years of experience directly related to the position.
- Education: Associate degree or equivalent from a two-year college or technical school, or six months to one year of related experience and/or training, or equivalent combination of education and experience.
- Substitution: High school diploma or possession of GED equivalent [MR1] and two years of work experience directly related to the position duties.
- Computer skills required: Database software (Microsoft Access); Internet software; spreadsheet software (Microsoft Excel); contract management systems; project management software; word processing software (Microsoft Word); electronic mail software (Microsoft Outlook); presentation software (PowerPoint).
- Must be proficient in Adobe Acrobat. Ability to create and edit PDF documents, prepare fillable forms, and share and review forms.
- Additional skills required: Ability to rapidly acquire and retain knowledge of administrative and procedural regulations. Proven attention to detail, reliability, and outstanding organizational skills, and the ability to prioritize multiple projects under minimal supervision.
- Must have strong telephone and interpersonal skills.
- Should possess excellent written and verbal communication skills.
- Must be able to quickly gain a working knowledge of the various activities performed by all departments, including knowledge of office practices and procedures.
- Must possess the personality and temperament necessary for working under stress in dealing with the public.
- Must be familiar with real estate appraising and residential construction.
- Language Skills: Bilingual in English and Spanish preferred.
