How You'll Make an Impact
- Administrative support: Performs various administrative activities, including taking ownership of the executives’ agenda/schedule and expense reports.
- Confidential support: Acts as point of contact for internal/external enquiries by phone and email, initiates action and makes judgments about urgency of issues. Provides confidential support to individual executives and/or management team members.
- Documentation: Researches, compiles, verifies, and analyzes information. Prepares reports, presentations, organization charts and related correspondence.
- Communication - Responsible for different communication tasks, ensuring knowledge and information is shared and keeping others up to date.
- Processes - Implements Hitachi Energy processes and initiates continuous improvement of administrative processes and procedures to maximize efficiency and effectiveness.
- Events: Arranges business critical internal/external events, including meeting agendas, travel arrangements, itineraries, accommodation, conferences, visiting speakers etc.
- Obtaining and organizing information for use in conferences, speeches, and reports as requested by the Executive
- Editing, proofing, formatting, document design/production, form filling, and data entry. Scheduling/coordinating meetings, diaries, and travel arrangements
- Receiving/relaying telephone messages from internal and external sources, managing the time/interaction executives have with internal and external sources
- Organizational knowledge (i.e., financial processes, authorization processes, eg.)
Your Background:
- 8+ years’ experience in Executive Assistant roles supporting Senior Leaders.
- Excellent organizational skills, with the ability to manage multiple tasks and priorities effectively.
- Ability to operate in a fast-paced environment with high level of complexity.
- Flexibility to work over time zones and in hybrid/remote environment
- Strong communication and stakeholder management skills.
- Ability to proactively anticipate needs, work independently and take initiative.
- Proficiency in Microsoft Office suite of applications.
- Fluency in English, both written and spoken
