SUMMARY: Under general direction, coordinate, monitor and support various areas of responsibility in the department to include but not limited to budgeting, scheduling, communication and organization.


 


ESSENTIAL DUTIES AND RESPONSIBILITIES:



  • Oversee day-to-day operations of the department.

  • Answers and screens phone calls, directs inquiries to appropriate party, receives visitors, students and staff; responds to inquiries about Career and Technical Education or a specific CTE program, identifies sensitive issues and brings them to the immediate attention of the supervisor.

  • Assist with multimillion dollar budget and grant related processes, and ensures compliance for all expenditures.

  • Manage administrative functions, including preparing correspondence, memos, reports, developing recordkeeping systems, Board reports, and forms.

  • Support with CTE Events and special projects.

  • Serve as liaison between staff and community, including screening complaints, communicating District and CTE policies and procedures, and providing follow-up as required.

  • Provides support to CTE teachers and CTSO high school and middle school advisors for travel, professional development and CTE procedures.

  • Review timesheets for CTE staff curriculum writing and additional hours.

  • Process Electronic Personnel Action Requests (ePars) for CTE staff additional hours and additional duties.

  • Reconcile P-card for CTE director, CTE department, and Culinary department.

  • Monitors CTSO Chapter Awards for submission to West-MEC for reimbursement.

  • Perform on-line requisitioning for all CTE programs in compliance with grant funding.

  • Liaison for CTE Tech support in ordering and coordinating technology equipment, software, and licenses.

  • Coordinate with accounting specialist regarding grant compliance and reimbursement.

  • Follow-up on orders placed, resolve problems and verify receipt of items.

  • Monitor and inventory supplies.

  • Under the direction of the Director, assist in developing operating procedures and guidelines for effective and efficient operations of the office.

  • Establish and maintain good rapport with students, employees, community members and vendors.

  • Maintain a high level of ethical behavior and confidentiality.

  • Other job related duties as assigned. 


EDUCATION:



  • High School Diploma or GED required.

  • Associate’s degree in Business, Management, or related field preferred. 


EXPERIENCE:



  • Three (3) years of increasingly responsible administrative support experience involving frequent contact with the public.

  • Experience in finance, purchase orders, ticketing, cash collection, invoicing and accounts payable.

  • Customer service experience.

  • Experience with Microsoft, Google, and Excel

  • Experience with website development and management. 


COMPUTER SKILLS:



  • Competency in computer literacy, Microsoft Word and Excel. 


LICENSING/CERTIFICATIONS:



  • Obtain and maintain a valid Arizona Identity Verified Prints (IVP) Fingerprint Clearance Card (AZ IVP FPCC).


KNOWLEDGE OF:



  • Standard practices, methods and materials of assigned work.

  • Techniques and methods for organizing, prioritizing and monitoring work.
