Job Description

Title: Real Estate / Special Asset Trust Administrator 

Department: Trust Services Division 

Reports to: Director of Trust Services

Date: March 2026 

 


General Summary:

This position will manage all trust-owned real property, as well as oversee coordination of all vehicle purchases & on-going tracking, for both Personal Trust & SNT. This individual will be a skilled and detail-oriented Real Estate Trust Officer and will manage and oversee a portfolio in excess of 100 properties and approximately 75 vehicles, under our administration, ensuring their effective maintenance, compliance with trust standards and overall operational efficiency and safety for our beneficiaries. 

 

Essential Duties and Job Responsibilities:

  • Serve as a primary point of contact for beneficiaries, addressing inquiries, coordinating the purchase of all automobiles and ensuring the appropriate liens are in place.
  • Provide updates on property maintenance issues and ensure transparency in trust operations.
  • Assist our Administrative Trust Officers in the many tasks associated with purchasing a vehicle and real property, including renovations, distributions, asset transfers, and other fiduciary duties as required.
  • Coordinate tax payments.
  • Hands-on responsibility for property management and oversight.
  • Coordinate with property managers, maintenance vendors and contractors to oversee day-to-day property operations, including repairs, renovations, and routine maintenance.
  • Ensure all properties are well-maintained, compliant with legal requirements, and meet established operational standards.
  • Assist in developing and maintaining approved budgets for each property and ensure expenses are controlled and in-line with the Court Order.
  • Work closely with our Operations Department to ensure all appropriate liens are in place for vehicles and coordinate the payment of property taxes & tri-annual inspections and appraisals for all real property.
  • Assist with operational tasks as assigned by the Trust Operations Manager.

 

 

OTHER RESPONSIBILITIES

 

EDUCATION, CERTIFICATION, EXPERIENCE:

Education: 

  • Associates degree with two (2) to three (3) years of Real Estate experience OR 

A minimum of five (5) years of experience in Real Estate required

  • NYS Licensed Real Estate professional preferred
  • Property Inspection Certificate a plus
  • ADA Certificate a plus

Experience: 

Required:

  • Must be detail-oriented and have excellent organizational skills
  • Must have knowledge of Real Estate Contracts
  • Must have experience with finance / budgeting
  • Must have the ability to multi-task
  • Must have patience and excellent customer service skills


KNOWLEDGE, SKILLS, ABILITIES:

  • Exceptional organizational skills to uphold our fiduciary responsibilities as Trustee and 

 deliver excellent customer service to beneficiaries and their families

  • Strong understanding of real estate management
  • Basic legal knowledge
  • Budgeting and financial knowledge

 

WORK ENVIRONMENT:

  1. Flexibility to work additional hours including nights, weekends and holidays, as required. 
  2. Typically, the noise level in the work environment is low to moderate. 
  3. Will have high volume of interactions in person and over the telephone. 
  4. Fast-paced environment. 
  5. May experience occasional job stress in response to job demands. 

 

PHYSICAL DEMANDS:

  1. Frequently required to sit for prolonged periods of time.
  2. Mobility required greeting and assisting employees and visitors.
  3. Frequently required to skillfully operate a computer, telephone and other standard office equipment.
  4. Travel between all locations of the bank.
  5. Occasionally travel outside of work location to attend meetings and training programs.
  6. Occasionally lift and/or move up to 20 pounds.
